SUMMARY
We are looking for an experienced and qualified Workforce Coordinator to join our team.

If you are passionate about volunteerism and creating valuable experiences for a dynamic workforce this role is for you This role is primarily responsible for the development, administration and delivery of Westerner Park's diverse volunteer program.

With a strong focus on ensuring our volunteer program will improve the volunteering experience and overall volunteer journey at Westerner Park.


ESSENTIAL DUTIES AND RESPONSIBILITIES
Under the direction of the Senior Manager, Workforce your responsibilities will include, but are not limited to the following:

Volunteer Program Administration and Development

  • Support the planning, development and implementation of the Westerner Park Volunteer programs, including internal process and procedure, documentation, and recruitment.
  • Build the brand of Westerner Park through volunteerism in order to maximize opportunities to engage our community within our organization.
  • Recruitment, screening, selection, training, motivation and evaluation of volunteers.
  • Promotion of volunteering opportunities to the public and maintaining a positive image of the organization within the community.
  • Support the continued program development by:
  • Engaging with Westerner Park's Volunteer Program Advisory Team members
  • Volunteer Program associated with the Red Deer Rebels, concerts and other Peavey Mart Centrium entertainment
  • Westerner Park Committees including terms of reference, recruitment and onboarding and meeting coordination
  • Advise on the volunteer program standards and confirm the volunteer life cycle regularly
  • Development and maintenance of policies and systems to ensure effective volunteer management, as well as the supervision of volunteers, ensuring that they are at their stations on time and have the resources needed to fulfill their duties; troubleshoot; adjust schedules in the event of noshows, illness, etc.
  • Assist with volunteer and staff onboarding experience and documentation and update existing policies.
  • Assist in completion of Workforce Standard Operating Procedures.
  • Actively seek volunteer grant opportunities for the organization and ensuring deadlines and requirements are met.
  • Assisting with the coordination of general volunteer and employee events and awards programs.
  • Participate in the Continuous Improvement (CI) initiatives such as assisting in the research and in gathering information required for new programs and initiatives, required updates or to aid in making decisions.
  • Support the coordination of internal and external volunteer and staff events such as, volunteer open house, national volunteer week, recognition and award program, workforce job fairs, youth recruitment initiatives, etc.

Human Resources Administrative Support

  • Assisting with the full cycle recruitment process, including posting jobs, collecting and screening resumes, arranging interview schedules, conducting interviews and reference checks, and arranging orientation sessions.
  • Work closely with the Senior Manager, Workforce and all business units to provide an effective onboarding experience for new employees.
  • Support the administration of group benefits for new and existing employees including documentation requirements and updates.
  • Prepare various employeerelated documentation, letters and calculations based on relevant legislation and Westerner Park policies.
  • Payworks administration new employee input, current employee updates, report building, user management, timesheet reconciliation.

Health and Safety

  • Support administrative function to the Westerner Park health and safety programs i.e., create, revise and edit standard operating procedures, meeting minutes, inspections, etc.
  • Ensure all organizational and select department activities follow government legislation and internal safety for Westerner Park employees and volunteers.
  • Support the review, development, and maintenance of Westerner Park OHS Policies and Procedures, and Handbooks for employees and volunteers to reduce operational risk and workplace injuries

Training and development

  • Provide support for development and formatting of Policies and Procedures
  • Ensure Standard Operating Procedures (SOP) are uptodate and available for all staff via the internal portal.
  • Facilitate and develop ad hoc presentations as needed in relation to volunteer program development
  • Provide coaching support to Managers and Supervisors on volunteer related matters.
  • First point of contact for volunteer escalation matters or volunteer relation issues.
  • Partnering with the business units to provide training materials and deliver presentations to support volunteer and organizational needs.

Planning, Coordination and Internal Relations

  • Conduct HR and volunteer orientations
  • Assisting with volunteer performance management issues
  • Assisting in various HR and volunteer projects
