Description

This year we wish to hire a contract Program Administrator to implement strategic plans and manage operational tasks in a part-time capacity.

We estimate this position to be
eight hours per week for fifty weeks this year. It is our goal to continue this role long-term and support it through grants and donations.

Musical theatre brings our participants together across regional, cultural and social communities in large-scale productions.

Each year we average 90 community volunteers who are engaged in the preparation, supervision and performance of full-scale musical theatre performances that often sell out local venues.

A diverse range of experience levels, ages and genders make our organization a welcome environment for artists who love to sing, dance and act along with the artistic team behind the curtain who make it all possible.

We have committed MTP to fostering Diversity & Inclusion in our mandate and now have a strategic plan in place for the next five years.

Our first initiative this year has been to create the Silver Spotlight, a performance specifically to ensure our membership over 55 will see themselves represented on and off stage.

Responsibilities
The Program Administrator will attend monthly board meetings on Saturday mornings and prepare reports for the board to review.

Here are some examples of current board priorities:

  • Scheduling committee meetings such as Season Planning or Fundraising, taking minutes and communicating the decisions back to the board
  • Bookkeeping for upcoming performance costs
  • Membership Engagement and Publicity online to attract audiences
  • Coordinating Contracts and Waivers are signed well in advance
  • Managing our physical storage of props, sets and costumes
  • Fundraising through donor relations or writing grant proposals
  • Booking rehearsal space for performances
  • Implement recommendations from our Diversity and Inclusion Report and Strategy Plan, including first contact with local groups that represent diverse communities to help raise awareness about our organization

Qualifications

We are seeking someone who ideally has professional experience in arts administration but even more important is the ability to take a high-level mandate and work independently for a month between board meetings.

Bookkeeping and organizational skills will be assets along with an outgoing personality to communicate with our members.
