GENERAL
Reporting to the Manager, Bookstore, Print & Graphic Services, the Coordinator is responsible for the day-to-day staffing and operation of Print Services.
This position supervises the print services full-time, part-time and casual staff; oversees the smooth operation of all print shop services and college printer fleets on two campuses.
This position also assists the Manager in long-term planning for Print Services at Camosun College.TYPICAL DUTIES
- Supervises, schedules and assigns tasks to Print Services staff (as appropriate to their job descriptions) to accommodate fluctuating workloads; assesses workload and brings in part time staff as needed;
- Uses problem solving and conflict resolution techniques to ensure effective, productive and positive work environment including appropriate responses to unforeseen circumstances;
- Liaises with HR, union representatives and management to ensure matters related to collective agreements are handled in an appropriate and consistent manner;
- Recommends approval of vacation, time off, professional development requests or leave of absence for Print Services staff in consultation with Manager
- Brokers, orders, and coordinates print or finishing production that must be sent to external service providers;
- Coordinates the work of internal and external service providers, as necessary, to complete complex print jobs;
- Responds to questions and provides assistance on related equipment or system to resolve problems in a timely manner; liaises with IT Services and/or external suppliers as required
- Ensures WCB safety standards for Print Services are adhered to and ensures Material Safety Data Sheets are updated as necessary;
- Uses judgment and creative problem solving to resolve issues or complaints referred by staff or clients;
- Brings forward issues related to procedure and policy development that require broader consultation and consideration to the Manager;
- Develops and maintains, with assistance from or completion by Print Services staff, informational materials for endusers on applicable equipment and processes
- Takes a leadership role in being knowledgeable about the functions, business processes and changes within Print Services, and communicates these to workgroup members;
- Initiates and leads staff meetings as needed;
- Contributes to decision making and planning related to department policy, business processes, equipment needs and setting new directions within Print Services offerings;
- Participates in identifying technical support requirements, both internal and external, that are needed to support business processes
- Demonstrates and mentors for service excellence as well as coaches employees to meet service expectations; promotes and supports an effective working relationship with clients;
- Liaises with other institutions, professional organizations, and external service providers as appropriate;
- Ensures supplies and inventoried forms are kept within operating levels;
- Creates and maintains statistical reports on production volumes; designs and updates appropriate record and filing systems;
- Calculates and provides cost estimates for print jobs requiring specialty printing, finishing or any project outside of the department's normal workflow;
- Approves payment of invoices for received supplies
- Develops the hiring process and selection criteria, in accordance with collective agreements, to meet service expectations and position requirements
- Assists the Manager in the creation and updating of Print Services job descriptions;
- Defines performance objectives for staff members and assist staff in meeting these objectives through professional development opportunities as required;
- Conducts employee performance reviews in accordance with college practice;
- Monitors automated printer/copier data tracking system as required to ensure billing and reporting processes are maintained; generates periodic and/or adhoc reports as requested by manager
- Works with manager to monitor expenditures to ensure Print Services stays within budget; follows up on questionable entries and reports budget concerns to manager;
- Prepares reports on expense figures from previous year and projected increases or decreases to be used in budget development process;
- Works with manager to prepare detailed annual purchase requests for supplies, maintenance contracts, services, capital expenditures and leases;
- May be called upon to perform the primary duties of one of the following positions: Supervisor-Graphic Services, Bindery Operator, or Print Production Operator as required.

QUALIFICATIONS
Two year diploma in related computer programs plus eight years related experience in a varied small press or copy shop environment, three of which have been at a supervisory or leadership level, or an equivalent combination of education and experien
