Sinai Health is looking for a skilled Medical Secretary who is aligned with our purpose to join our Medical Imaging team at our Mount Sinai Campus.


Responsibilities

  • Manage and support several busy clinics and radiologist offices for the Joint Department of Medical Imaging (JDMI) in the Division of Vascular Interventional Radiology (VIR)
  • Support the JDMI VIR radiologists at Sinai Health and UHN
  • Daily touch base with respective radiologist in clinic to determine workflow, assignments and tasks to be performed/completed to facilitate management of timely VIR procedures and associated tests
  • Action, facilitate and operationalize tasks and assignments as required by the VIR radiologists to ensure efficient processing with appropriate turnaround times
  • Provide administrative support of medical/professional personnel, including: acting in an independent manner to maintain written and/or electronic appointment/calendars of respective VIR radiologists
  • Provide efficient and effective reception responsibilities; organizing, modifying, escalating as necessary, and maintaining confidential electronic/paper filing and retrieval methods, systems and/ or formats as well as appropriate documentation as required
  • Manage, monitor, expedite and schedule Medical Imaging patient appointment/visits and respective tests for VIR patients
  • Provide cross site support/coverage as needed to ensure operations is not disrupted for VIR division
  • Organize, arrange, coordinate and communicate small to midsize formal and informal meetings/events
  • Provide functional supervision and leadership to on boarding or junior colleagues
  • Receive, greet and screen patients and visitors, obtain necessary information, direct patients and visitors to appropriate personnel
  • Answer, screen and forward telephone calls to appropriate personnel; respond to internal and external inquiries within scope of responsibility
  • Maintain office and other supplies at established inventory levels
  • Ensure office equipment is operational
  • Perform other related duties as required to support activities of the VIR division
  • Perform crossfunctional duties, as assigned or requested, consistent with the job classification


  • Job Requirements

  • Successful completion of a University Degree or College Diploma in Healthcare, Business Administration or Computer Science
  • Minimum of three years' administrative assistant experience, experience in a healthcare environment preferred
  • Applicants with proven equivalent, recent and related experience may be considered
  • Experience working in medical imaging is preferred
  • Proficient in Radiology Information System (RIS), ABELMed and CERNER
  • Proficient with medical terminology and transcription
  • Exercise considerable judgment/independence and utilizes knowledge of medical terminology/advanced functions in administration and word processing services to facilitate the production of complex, confidential documents/materials for the VIR radiologists
  • Ability to collaborate effectively and respectfully Advanced knowledge, skills and proficiency with computer software program, i.e. MS Office Word, Excel, PowerPoint, Access
  • Knowledgeable and competent in medical terminology
  • Excellent written and verbal communication skills
  • Ability to work with minimum supervision
  • Demonstrated superior organization skills and ability to prioritize competing tasks
  • Superior work ethic, professionalism, dependability, initiative and positive attitude
  • Ability to make decisions, exercise good judgment in dealing with confidential information and/or in responding to inquiries
  • Excellent attention to details and follows on outstanding issues
  • Knowledge and experience in project management preferred
  • Reliable and flexible with ability to work efficiently in a fast paced, multitasking and dynamic environment
