    Reporting to the Manager, Clinical Services and receiving work direction from the clinic Coordinator, the Clerk provides clerical and administrative support for the clinic by performing duties such as greeting and directing patients, scheduling and booking appointments, answering and redirecting telephone calls, maintaining related records and reports, setting up patient files, word processing, preparing correspondence, filing, faxing, and mail.

    Responsibilities Performs receptionist duties such as greeting booked and/or walk-in patients, answering the telephone, taking and relaying messages and re-directing calls to the appropriate area; responds to general inquiries about programs for the assigned area and provides information regarding available clinic services, hospital and/or community resources to patients and general public.

    Schedules and books out-patient appointments for the assigned area; makes follow up appointments, adjusts arrangements in accordance with patient and facility requirement by assigning to appropriate time, date and location; contacts appropriate area to confirm appointments; prepares and distributes clinic appointment schedules.

    Prepares patient file by obtaining required information from patient and/or referring community agency; attaches test results; completes standard forms for medical billing.

    Telephones and/or transmits tests results and other medical information to patients, physicians and others according to established procedures.

    Types a variety of technical and non-technical documents such as correspondence, medical reports, minutes of meetings, medical billings, statements and reports from written form, drafts and/or dictation; composes correspondence as directed.

    Performs a variety of clerical duties such as filing, photocopying, faxing, mailing and word processing documents such as clinic schedules, memos, and printing and distributing documents as required.

    Receives reports, sorts and distributes incoming information such as facsimiles and mail. Updates patient education material; maintains display of community agency pamphlets.

    Maintains a variety of statistical and related reports; compiles, prepares, updates and distributes reports utilizing a variety of computerized software.

    Sets up and maintains filing systems such as patient records and correspondence.

    Schedules meetings as directed; books and sets up meeting rooms, distributes agendas; records, transcribes, types and distributes meeting minutes as required; maintains appointment calendar for clinic staff, as required.

    Maintains adequate inventory of supplies by preparing requisitions for authorization by the Manager. Assembles and sends for cleaning all equipment used during examinations. Attends various meetings including interdisciplinary team meetings as required; prepares and/or provides information related to meeting agendas. Performs other related duties as assigned.

    Qualifications Education and Experience Grade 12 and two years' recent related experience or an equivalent combination of education, training and experience.

    Skills and Abilities Ability to keyboard at 45 wpm. Knowledge of medical terminology. Ability to communicate effectively, both verbally and in writing. Ability to deal with others effectively. Ability to operate related equipment. Physical ability to carry out the duties of the position. Ability to organize work.
