In accordance with the Administrative and Professional Officer Agreement, this full time continuing position offers a comprehensive benefits package found at Faculty & Staff Benefits and annual salary range of $75,267 - $125,443.


Location - North campus. This role is hybrid with a mix of remote and in person


Department summary

Position summary
Reporting to the Faculty General Manager, the Academic Department Manager oversees the administrative operations of an Academic Department. This position manages and oversees the administration of Department Programs and daily Department operations for the Department of Psychology.

Support for this Department spans across both the Faculty of Arts and the Faculty of Science in two distinct Colleges.

Oversight of this Department includes support for approximately 29 faculty members, over 1,000 undergraduate and graduate students, and 5 programs.


This position has direct oversight of ten (10) positions including student advising, executive and administrative support, research participation, technicians, and a programmer.

Duties
Department Operations Manager

  • Works with the Service Partner (Finance) and Chair to monitor, analyze, forecast and report on the academic department's financial position.
  • In conjunction with the Service Partner (Finance) and the Processing Hub, oversees the financial transactions across all sources including special grants and contracts. Monitors the purchase of services, equipment and supplies for the academic department
  • Recommends strategies and proposals regarding budget allocations /reallocations and distribution of resources to support area's priorities.
  • In collaboration with Service Partner (HR), provides advice and support to Academic Department Chair and area supervisors on human resource issues (e.g. hiring, performance management, ER/LR).
  • Manages the employee lifecycle (e.g. Letters of Appointment, cancellation stipends) for the Department's Academic Teaching Staff.
  • Evaluates current business processes within administrative areas for operational and financial efficiencies. Recommends changes to Academic Department Chair.
  • Manages space allocation (offices and laboratories), furniture, furnishings, and office equipment. Manages requests for computer, phone and system access.
  • With the assistance of the Service Partner (Communications) and in conjunction with the Faculty and College offices, develops and executes communication to various stakeholders. May oversee department events aimed at networking, information sharing and fund development.
  • Creates an environment where diverse ideas, perspectives, and achievements are recognized, rewarded and celebrated
Academic Program Operations Manager

  • With the Colleges and support staff, coordinates course and calendar information according to Department/ Faculty/College protocols.
  • Makes necessary changes to course offerings supported by analytics (including course cancellations and scheduling changes). Keeps all stakeholders apprised of the changes.
  • Supports the scheduling of courses and assesses needs for contract teaching staff.
  • Advises on governance processes and procedures for course and program development/change.
  • Negotiates financial and other agreements for service teaching and special projects.
  • Responsibilities may also include supervision of laboratory or technical staff, enrolment management, student engagement, program advising and the coordination of department specific scholarships and awards.
Strategic Resource

  • Manages the flow of operations/administrative information/data to the Academic Department Chair. Ensures information is accurate and timely for effective decision making.
  • Contributes professional and administrative expertise to the development of plans, objectives, solutions, policies and procedures for the Academic Department.
  • Assists Academic Department Chair with all levels of planning. Ensures the integration of area planning with Faculty, College and/or University priorities. Creates operational plans for the Department's administrative functions.
  • Tracks key analytics and develops reports to support decision making. Responds to requests from the College or Faculty offices for financial and statistical information to support decision making.
  • Uses all available information appropriately to guide decisions and negotiations to meet objectives, while acting with integrity.
  • Formulates business cases with the Academic Department Chair in order to secure funding for programs and initiatives. Analyzes unit needs and works with the Academic Department Chair t
