Description
We are looking for an enthusiastic, pro-active, detail oriented and values driven administrator to join our camp team

Nature and Scope


The camp administrator will work closely with our camp team and provide support to camp staff throughout the summer with enquiries questions and information regarding campers, sites, registrations/cancellations.

Supporting the Camp Supervisor in the planning of camp interviews, training and be expected to attend all weekly camp staff meetings.

Work Schedule

  • Part time, approximately 10 hours/weekly from March


  • May 202

  • Seasonal, Fulltime hours 35hrs a week from June
  • September 1, 2023; Monday
  • Friday between the hours of 7am6pm.

Responsibilities:

Administration

  • Assists in administrative functions in preparation for the camp season and camp training. To include trip booking and payments, invoice billing, supply shopping, purchase card reports, uniform orders, and staff name tags.
  • Attends and participates in all staff training and weekly staff meetings.
  • Ensures accurate completion of attendances and bus roosters on a weekly basis.
  • Printing camp/bus rosters twice a week and ensures rosters contain the correct information.
  • Supports in the planning and arranging of thirdparty contracts, payments, and insurance.
  • Coordinates bus schedules, bus routes and ensures camp directors receive updated rosters weekly.
  • Assisting with phantom campers and ensuring the roster is completed and shared with the appropriate staff.
Family Communication

  • Ensures family inquires and concerns are followed up on in a timely and courteous manner (within 24 hours) and escalates in a prompt & professional manner to the Camp Supervisor.
  • Sends weekly parent newsletter to all camp families throughout the summer.
Human Resources & Volunteer Development

  • Assists with the orientation and training of summer camp counsellors, volunteers, and placement students.
  • Works effectively as part of the camp team and within the YMCA to assist in the achievement of group and organizational goals.
  • Models' appropriate behavior in all interactions with coworkers, other YMCA staff and the public, ensuring behavior always aligns with YMCA core values.

Requirements:


  • Postsecondary education in a related field (or in process)
  • 12 years of experience working in a summer day camp or residential camp program and customer service experience
  • Proficient with Microsoft Word, Excel and PowerPoint
  • Strong written and verbal communication skills
  • Strong interpersonal communication skills and conflict resolution skills
  • Strong teamwork and leadership skills
  • Standard First Aid and CPR 'C' (prior to the first day of camp)
  • Must have a current and valid police record check with vulnerable sector screening
  • Must provide proof of being fully vaccinated against covid19 or provide valid proof of exemption on grounds that are protected under the Human Rights code
