***Reporting to the Director of Finance & Corporate Services, the position is responsible forpayroll, accounts payable, accounts receivable, donation processing, and general administrative duties.


PRINCIPLE RESPONSIBILITIES AND DUTIES
Accounts payable

  • Prepare, verify, acquire signatures and process payables on a biweekly basis;
  • Process/print cheques, create online payment batches and coordinate payment approvals.
Accounts receivables

  • Prepare & process all incoming payments & donations;
  • Print off and process all ecommerce and direct deposit payments;
  • Process telephone donations as needed;
  • Prepare deposit reconciliation sheets;
  • Deposit cheques and bring cash deposits to the bank;
  • Create bank reconciliation sheets for the accountant.
CIMS (Client Database)

  • Process all client payments;
  • Reconcile all client payments against bank deposits;
  • Process client account adjustments as requested by programs;
  • Monthly follow up of open debits & credits;
  • Monthly follow up of VAC & GHP client accounts.
Payroll

  • Prepare biweekly payroll changes and input payroll information;
  • Prepare biweekly payroll spreadsheet;
  • Prepare biweekly Group RSP staff payroll contribution spreadsheets and cheque to London Life;
  • Prepare annual Employee Health Tax return in accordance with Ontario Ministry of Finance regulations;
  • Prepare T4's and Records of Employment;
  • Followup on any payroll issues with the appropriate authorities;
  • Prepare other payrollrelated information and analysis as requested.
Donations

  • Enter all donor contact information and donation information into the donor database;
  • Ensure accuracy of data in donor management database, including mailing lists, donations, etc.;
  • Ensure the timely production of acknowledgement letters & charitable tax receipts;
  • Fulfill data and reporting requests, including the production of donor lists, regular progress reports and extractions of data from the database for analytical purposes;
  • Reconcile fundraising revenues between the fundraising system and the accounting system on a monthly basis.
General Duties

  • Maintain, track and reconcile petty cash, bus tickets;
  • Other related duties as assigned.

BACKUP
RESPONSIBILITIES AND DUTIES

  • Process and follow up on monthly A/R invoices
  • Bank Reconciliations

QUALIFICATIONS
Education & Experience

  • A minimum of 5 years of A/R and A/P experience;
  • Completion of payroll training or payroll practionner strongly desired
  • Successful completion of secondary school diploma an asset;
  • Strong interpersonal, problem solving and organizational skills;
  • Ability to multitask and prioritize around tight deadlines;
  • Strong communication skills, both written and verbal;
  • Available to work flexible hours;
  • Commitment to maintaining confidentiality.
Language

  • Ability to communicate fluently in English spoken and written;
  • Ability to communicate fluently in French considered an asset.
Computer Competencies

Experience with Sage or other accounting software;

  • Experience with donor software;
  • Strong Excel Skills.

Salary/Hours:


  • Starting salary is $45,000 $55,000 per annum;
  • 35 hours per week

$16.55-$25.00 per hour
