Description

The Project Coordinator provides strategic program coordination, support and project leadership in addition to data analysis as required by the Extensive Needs Directors at CHEO, McMaster and Holland Bloorview in a tri-organizational capacity to support program implementation and service delivery.

The Extensive Needs program will provide personalized care and wrap around services in a dedicated pathway for the most vulnerable children with complex special needs that include neurodevelopmental and mental health needs.

These children often have complex interplay of developmental complexities and social vulnerabilities.

The position is required to exercise judgement and independence and will provide multifaceted project and program support services to the Extensive Needs Directors.

Senior executive administrative services are also provided in a confidential manner for the Extensive Needs Directors and other members of the senior leadership teams.

Support is also provided to Operations Management as needed.


KEY RESPONSIBILITIES

  • Support development and ensure the efficient operation of the Extensive Needs Service
  • Produce complex documents/materials/reports and presentations
  • Plan and coordinates program wide initiatives on behalf of the triorganizational Extensive Needs Directors
  • Interacts with various external agencies and stakeholders, e.g. Ministry of Health & Long Term Care, Ministry of Children, Community and Social Services, Ontario Hospital Association, other hospitals and community partners and agencies in children's health, etc.
  • Collaborate and utilize strong organizational skills to ensure the Extensive Needs Directors and leadership team is kept up to date on strategic issues and projects connected with the Extensive Needs Service.
  • Assist in the planning, preparation, and maintenance of project team schedules and initiatives, documents management action plan updates, maintains project issues logs and database
  • Assist with the preliminary analysis of data and the compilation of reports as requested by the Extensive Needs Directors
  • Coordinate and maintain electronic calendar/schedules
  • Liaises closely with program/service directors, middle managers and other professional staff on behalf of the extensive needs directors.
  • Responds to confidential, complicated and routine inquiries using tact, sensitivity and advanced questioning and problemsolving skills
  • Maintains an accurate and easily accessible filing system both paper and computer based
  • Is knowledgeable of legal requirements regarding the retention and release of information, and the archiving of information
  • Provides support for several internal and external committees
  • Sources out goods or services based on review of specification requirements

MINIMUM KNOWLEDGE, SKILLS & ABILITIES

  • Strong project management skills; planning, execution and ongoing review and improvement
  • Postsecondary degree/diploma; University preferred or equivalent
  • A minimum of five years project coordination and 2 years project management experience
  • Has a strong sense of "team" approach
  • Project planning, execution, reporting, monitoring and evaluation experience
  • Works with mínimal direction and supervision
  • Effective communicator with strong organizational skills, influential skills, client and family centred care orientation and commitment to providing quality products and services
  • Takes initiative, is resourceful and creative and has strong interpersonal skills
  • Possesses time management and prioritizing skills
  • Intermediate level computer systems and software that are relevant to the job, i.e. wordprocessing, spreadsheet, database, MS Project, PowerPoint, etc.
