Due to the company's growth, we are adding a Project Coordinator to assist our Project Managers in our Commercial Design/Build environment.

    About You

Knowledge, Skills and Abilities

  • Basic knowledge of project management concepts including budgeting, scoping, scheduling, and quality control
  • Basic knowledge of construction language, labour scheduling, and materials/labour tracking against estimates
  • Basic knowledge of sales and projectrelated documents (proposals, estimates, takeoffs, change orders, etc.)
  • Basic knowledge of project accounting (i.e. purchase orders, invoicing, budgets, job costing, etc.)
  • Ability to interpret Architectural, Electrical, and Mechanical Drawings as well as technical specifications (blueprints, instructions, spec sheets, etc.)
  • Knowledge of spreadsheet software with ability to manipulate data using filters, forms, functions, and tables
  • Basic skill level using construction software such as ProCore, Jonas Premier, Bluebeam and Smartsheet etc.
  • Strong organizational skills and the ability to prioritize and manage tasks independently
  • Strong oral and written communication skills in English with a focus on customer service
  • Ability to pick up new concepts and learn new software with ease

Experience

  • 1+ years of experience as a project coordinator in construction preferably in design/build firm

Credentials

  • Postsecondary education in constructionrelated area

About the Role


The Project Coordinator assists the Project Manager with project execution from the start of pre-construction including the design and procurement phases, through to construction and close-out.

The Project Coordinator provides support in an administrative and coordinative capacity, responding to the demands of the project with exceptional speed and accuracy.

They support the project management process by coordinating communications with internal and external stakeholders, attending site visits as needed, preparing and submitting tender documents, executing purchase orders, change orders, ordering material, general administrative/project related bookkeeping as needed, and other project activities and documentation.

  • Coordinate with internal/external stakeholders to set up, execute and close out projects
  • Attend client meetings, take meeting minutes and distribute them to the team
  • Prepare weekly progress reports as per the onsite progress and construction schedule
  • Ensure all project documentation is consistently organized and filed in a timely fashion
  • Read and understand Building Guidelines to enable the creation of summary reports/highlights for PM review and assessment
  • Participate in project setup including resourcing, scheduling, and budgeting
  • Manage job set up in project software after contract sign off (both design & construction)
  • Assist the PM to update Master Schedule and Construction Schedule
  • Work on Construction Proposal with Project Manager
  • Manage the tender process (create and send tender packages, interact with bidders, compile addendums, summarize bids, draft comparison sheets, schedule tender/bid meetings, and prepare awarded contracts/PO's)
  • Generate and issue Construction Contracts (stipulated sum contract)
  • Prepare and issue Subcontracts and change orders for trades and consultants
  • Generate and coordinate RFIs to Design, PM's, Trades and Engineers
  • Generate and coordinate Submittals such as shop drawings, data sheets etc
  • Budget tracking to identify over
