Position Summary
Assistant Coordinator, Conference Services

To assist in the planning, developing and delivering of continuing professional development programs and other events for physicians, staff and the healthcare community.

Continuing professional development events include on-site and off-site conferences, courses and rounds.
On a practical level, you will

Assist with organizing functions related to continuing professional development events.


Duties include but not limited to researching venues and negotiating rental space; drafting promotional materials; maintaining a registration database and related documentation including financial activities related to conferences; promoting program for sponsorship funding; assisting with conference budget; liaising with speakers and committee members; attending conferences to perform duties related to registration and evaluation of programs.

Provide direct support to supervisor in developing financial reporting systems.

Provide direct support in developing opportunities for organizing new CME events.

Attend meetings when necessary, recording minutes, coordinating materials and follow-up from various meetings.

Research and implement new technologies to deliver conference programs.

Develop and administer database for contact management.

Provide assistance with filing; organization of conference materials and mailing of conference materials.

Other duties as assigned.


Qualifications:

Graduate of a recognized business/administrative program.

A minimum of 2 years related working experience.

Conference and event planning experience a definite asset.

Experience working with volunteer committees.

Experience working with pharmaceutical companies and other companies for sponsorships.

Excellent verbal and written skills.

Multi-tasking ability.

Excellent organizational skills.

Excellent interpersonal skills.

Excellent customer service skills.

Ability to work well within a team environment and independently.

Self-starter.

Ability to interact with clients, staff, volunteers, sponsors.

Bookkeeping.

Ability to prioritize workload and to adjust to changing workplans, schedules and deadlines.

Ability to develop databases.

Bilingualism in French/English an asset.

This is a Part Time Temporary position, 8 hour shifts, day shifts in the Academic Education Centre.
