SUMMARY OF POSITION:


Reporting to the President, the Executive Assistant to President is responsible for providing clerical and administrative support to the President and various strategic activities.


The Executive Assistant to President ensures the day to day operation of the President's office is conducted in an efficient, coordinated and highly professional manner, including all activities supporting all areas of operations.

The Executive Assistant is responsible for ensuring the President is supported at all times.


RESPONSIBILITIES

  • Process of confidential information.
  • Coordinate the President's schedule, appointments, reservations and travel arrangements.
  • Provide support to Committees which the President may Chair by typing and distributing minutes and preparing agendas, managing action plans. Attend meetings, as required.
  • Prepare or provide material for the President's meetings in a timely manner including preparation of the President's daily calendar.
  • Assist in preparing PowerPoint and other business presentations, proposals and briefing notes.
  • Research and prepare draft responses to internal and external communications.
  • Assist with special projects and presentations as requested by the President, etc.
  • Organize senior management orientation for new facility GM's, ensuring travel arrangements, scheduled meetings, and accommodation are facilitated.
  • Reconcile corporate credit card and corporate budgets.
  • Maintain Corporate Files ensure filing systems are maintained and current
  • Support video conferencing for operational meetings with sites
  • Other duties and responsibilities as assigned by the President.

QUALIFICATION:


  • Post-Secondary Education plus three to five years' experience in a senior administrative/Executive Assistant role or equivalent combination of education and experience.
  • Previous experience as an Executive Assistant is desirable.
  • Advanced Microsoft Office skills
  • Word, Excel, Outlook, PowerPoint.
  • Proven ability to effectively prioritize work flow with excellent attention to detail.
  • Experience preparing agendas, minutes, letters, and memos in an errorfree manner.
  • Superior interpersonal and communication skills with the ability to maintain a professional approach at all times.
  • High standards of ethics and confidentiality to handle sensitive information.
  • Ability to work effectively with multiple critical timelines.
