The Position
An exciting opportunity to join an incredible team as Front Desk Manager for an established multidisciplinary physiotherapy and rehab clinic with two locations

Duties include (but are not limited to):

Administration & Reception Tasks:

  • Assist patients and practitioners to ensure a positive clinic experience at every visit.
  • Use an electronic medical system (Jane App) to schedule and confirm appointments, billing, and patient record management.
  • Ensure good clinic flow by managing patients and practitioners' schedules.
  • Bill directly to private insurance providers including claim submission and reconciliation.
  • Use a point of sale machine to process payments.

Management Tasks:

  • Lead and manage the team of parttime and fulltime clinic administrators at our Midtown location, supporting them to accomplish their tasks and resolve any concerns.
  • Assist the Director of Operations and practitioners with management and submission of MVA and WSIB claims.
  • Support and manage the hiring, onboarding, and training of new clinic administrators and practitioners.
  • Prepare accounts receivables and referrals reports.
  • Assist with managing inventory and facilities maintenance as required.
  • Support the leadership team with other management tasks as required.

Prerequisites include (but are not limited to)**:

  • Previous experience in a rehab clinic or medical office is required
  • at least 1-2 years if in a management role or at least 2-3 years if only in an administrative role
  • Experience with payment processing required; experience with payment reconciliation and accounts receivable is an asset
  • Experience with Jane App appointment booking software, or other electronic charting systems, is an asset
  • Experience with direct billing (Telus, Provider Connect, Medavie, and more) as well as MVA and WSIB claims processing is an asset
  • Knowledge of medical rehab and direct billing terminology is an asset
  • Effective communication skills and excellent interpersonal skills, both oral and written
  • Ability to problem solve, multitask, prioritize and cope with frequent interruptions and deadlines in a calm manner
  • Strong organizational and task/project management skills
  • Ability to lead a team of up to 5 people, including managing team members who may be on different schedules than yourself
  • Ability to work independently with mínimal supervision in a team atmosphere
  • Ability to exercise good judgment and initiative, both in general and as part of conflict resolution
  • Ability to ensure professionalism in all communications with existing and potential patients, and practitioners, and deliver superior service during each interaction.

Salary:
$45,000.00-$55,000.00 per year
