The Client Intake Coordinator will be reporting to a Senior Associate Lawyer as well as other Associate Lawyers at the firm.


Responsibilities:


  • Client Communication_
  • Acting as the first point of contact for new clients, coordinating the various steps of the intake process
  • Filing in accordance with established filing procedures
  • Scheduling initial intake meetings with lawyers to assess client needs
  • Following up with clients to collect necessary paperwork, documentation and information as required
  • Providing an overall exceptional customer service experience, focusing on meeting and exceeding client expectations
  • Administration_
  • Setting up and maintaining new client files in the firm's database system
  • Preparing client information for preliminary assessment by lawyers
  • Drafting retainer agreements
  • Managing multiple calendars through Outlook
  • Managing incoming correspondence from various provincial and federal government bodies
  • Providing full scope of administrative support to lawyers and Immigration Case Analysts as needed

  • Excellent interpersonal and communication skills
  • Strong attention to detail and organizational abilities
  • Strong writing skills
  • Ability to work in a fastpaced environment and manage multiple matters simultaneously
  • Possesses an interest in joining a company that offers room for advancement and learning
  • Experience in an administrative role an asset
