Responsibilities:


  • Provide administrative support to the Chief Executive Officer and the Board of Directors, including creating reports and preparing correspondence;
  • Schedule and confirm appointments for the Chief Executive Officer;
  • Coordinate all aspects of Board of Directors, Board Committees, Leadership team, Risk Management, Professional Practice Leader meetings, and Diversity, Equity and Inclusion (DEI) Committee meetings (i.e. book rooms, send appointments, create/distribute meeting agenda, etc.);
  • Record and distribute meeting minutes for all Board of Directors, Board Committees, Leadership team, Risk Management, Professional Practice Leaders, DEI Committee, and other meetings as required;
  • Provide general administrative support to the Leadership team, including Ministry submissions, accreditation, RFPs, contract management, meeting coordination and others tasks as needed;
  • Coordinate planning and execution of organization events, such as the Winter Wellness Event, Annual General Meeting and Employee and Volunteer Recognition events.

Qualifications:


  • Twoyear college diploma specializing in executive office administration or equivalent
  • Previous experience and demonstrated ability taking minutes, including the ability to listen, synthesize and record discussions;
  • Knowledge of Robert's Rule of Order and Board governance processes/procedures;
  • Strong organizational skills, detail orientation and the ability to prioritize work to meet deadlines;
  • Highly developed interpersonal and communication skills;
  • Strong customer focus;
  • Problemsolving skills, discretion, good judgment and sensitivity when handling confidential and/or sensitive information;
  • Excellent typing and computer skills, including proficiency in Microsoft Office 365 (Word, Excel and PowerPoint);
  • Proficiency in French at the novice/elementary level or above is preferred.
