Responsibilities:


  • Acts as an Administrative point of contact between CEO, COO and internal/external demands.
  • Provide advanced executive administrative support to the senior Executives.
  • Supervising daily the office receptionist.
  • Arranging, booking and managing complex international travel arrangements, itineraries or other duties related in support of senior executives while travelling globally.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
  • Drafts, prepares, formats, and distributes a variety of Word documents, spreadsheets, and presentations as required including agenda and minutes.
  • Ensures that the CEO be kept aware of schedules, meetings, appointments, and ensure required materials are provided.
  • Ensures appropriate followup on tasks and assignments delegated by the CEO.
  • Schedules, coordinates, reconciles, and sets up internal/external meeting room logistics involving seniorlevel executives and/or Government Officials.
  • Attends meetings as required and ensures that agendas and other meeting materials are prepared.
  • Updates and maintains electronic databases (contact lists, CEO assigned work) and CEO Outlook calendar.
  • Assists CEO in the management of issues/files by ensuring issues are tracked, priority access assigned, and time management pressures are addressed.
  • Coordinates CEO's travel and workshop logistics (includes registrations, reconciliations, materials, hotels, caterers, flights, transfers, etc.)
  • Retrieves filed documents in a timely manner when requested.
  • Assists Executive members with hotel and travel logistics.
  • Attends meetings and committee meetings providing administrative and technical support including meeting minutes, preparation, and distribution of records and ensures follow up occurs.
  • Track meeting attendance.
  • Assist with meeting for logistics including hotel & travel and room set up, order lunches.
  • Assist with other office activities as requested.

Qualifications:


  • Proven experience as a Personal Assistant or in a similar role.
  • Exceptional organizational skills and the ability to multitask effectively.
  • Strong communication and interpersonal skills.
  • Proficient in time management and the ability to prioritize tasks.
  • A reliable vehicle for running errands when needed.

Pay:
$40,000.00-$45,000.00 per year
