Position Overview
Reporting to the Office Manager, the Billing Coordinator will assist with job analysis and preparation of invoicing for collection.

The Billing Coordinator will create invoices and prepare the supporting documentation based on existing contracts, protocols and industry expectations throughout the restoration process.

This position requires an individual that is highly organized,

numbers driven and able to interact professionally with internal and external contacts.


Job Duties

  • Generate, research, investigate and cross reference time entry and job cost reports for accuracy
  • Review and assemble supporting documentation for invoicing purposes
  • Communicates with internal and external customers when necessary to obtain required documentation, or perform job specific billing tasks
  • Review billing procedures with Project Manager, recognize and identify various billing practices as it relates to deductible, GST and progress billings as per approved estimate
  • Identify errors or discrepancies and resolve before processing
  • Assemble and enter invoices and statements to ensure that all the information is accurate and complete and submit for approval prior to posting and uploading
  • Posts approved invoices and adjusts contracts and budgets in JD Edwards as required
  • Upload approved invoices and supporting documents to internal and external systems when requested
  • Provides general administrative support to other departments in the organization when required
  • Maintains appropriate filing and recording systems
  • Ensures strict confidentiality and privacy of job records as they relate to the organization and their customers
  • Provide excellent customer service
  • Work under time constraints to meet specific timelines
  • Ensure attention to detail and keen sense of safeguarding other people's property and information
  • Will practice good housekeeping at all times to ensure a safe and noncluttered worksite
  • Participates in and demonstrates an understanding of safety principles and practices; follows all safety policies and procedures to support a safe working environment, including safe operation of machines and equipment
  • Comply with all
    Belfor policies and procedures, as well as legislative requirements
  • Attend all
    Belfor sponsored training courses

Qualifications

  • Postsecondary administration or accounting courses / certification preferred
  • 1+ year experience in office administration or accounting preferred
  • Construction / Restoration / Insurance experience an asset
  • Quick learner, detail oriented and selfmotivated
  • Demonstrates the importance in personal professional presentation
  • Experience using office equipment (telephone, copiers, scanners, fax, printers, etc.)
  • Keen eye for detail
  • Comprehensive understanding of customer service, principles and practices
  • Ability to work within a team or independently as needed
  • Strong written and verbal communication skills
  • Proven ability to multitask in a fast paced environment
  • Intermediate computer and/or tablet/iPad experience with Microsoft Office programs such as Excel, Word and Google Suite
  • Willing to work evenings, on call and weekends when requested
  • Periodic travel may be required
  • Criminal Record Check
