RESPONSIBILITIES
Reception Duties
- Set a great first impression by greeting and assisting visitors
- Answer the main telephone line and direct calls
- Ensure kitchens, washrooms and supply room are fully stocked and organized
- Maintain cleanliness in general office areas, including kitchen and lunchroom
- Manage travel and accommodations arrangements
- Support with the organization and set up of special events
- Organize meeting rooms
- Assist the CEO and executives with various tasks including scheduling, travel and miscellaneous tasks
- Follow office workflow procedures to ensure maximum efficiency
- Monitor office expenditures and handle all office contracts (rent, service etc.)
- Planning office parties, awards ceremonies, and other companyrelated functions
- Making reports for CEO or executives
- Participate in vendor relationship management
- Perform other projects as assigned
Purchasing Duties
- Order supplies for retail stores, head office and the warehouse
- Research and request quotes for special purchases
Accounting Duties
- Collect, organize and manage invoices for credit card statement documentation
- Create and organize expense reports
- Organize and maintain file/storage room
REQUIREMENTS
- Previous experience in a receptionist or similar capacity is an asset
- Proficient knowledge of Excel,, ability to use Pivot Table, vlookup functions is an asset
- Extremely organized and detailoriented
- Highly motivated with the ability to work independently
- Ability to quickly learn new systems, adapt to new workflows and ability to execute changes
- Ability to meet tight deadlines, prioritizes appropriately, multitasks and copes well with change
- Possess a passion for learning and connection to the OAK + FORT aesthetic
