Description

Inspire Centre for Massage and Wellness is looking for a conscientious, compassionate, and professional
Front Desk Office Manager to oversee the front desk operations of our clinic.

In this role, you will be required to greet and welcome clients, supervise reception staff and all front desk activities including bookings, schedules, communications, payments & invoicing, building client relations, and ensuring that the reception area is professionally maintained.


Hours of work:
Tues/Wed/Thurs: 11:30am - 5pm, Friday: 9:30am - 5pm, and alternating Saturdays: 9:30am - 5pm.


The Office Manager is a vital component of our team as they are often the first connection and impression for our clients as well as leading the direction of the centre.

We want all client experiences to be positive and more of an interaction than just a transaction.

Responsibilities

  • Oversee daily clinic and front desk operations
  • Provide Receptionist functions, supervise frontdesk staff and delegate duties as required
  • Manage staff scheduling and time off requests for front desk & RMT team
  • Book clients and arrange appointments
  • Manage all aspects of Insurance Direct Billing for clients
  • Receive payments from clients and provide invoices on completion of treatment while scheduling followup appointments
  • Help generate new business by building client relations, repeat bookings, and connecting with community businesses for collaboration
  • Communicate and promote marketing initiatives
  • Maintain operational policies and procedures and ensure staff are made aware of any changes
  • Assist with interviewing and hiring of new employees
  • Support, share and collaborate on social media content
  • Manage inventory and ordering of office and clinic supplies
  • Print batch totals and balance end of day cashout
  • Prepare and submit biweekly hours for front desk team for payroll
  • Organize team and clinic events and volunteer opportunities.
  • Other delegated duties within the scope of employment as required

Qualifications

  • Minimum of two years experience in front desk office management, preferably in a healthcare setting
  • Experience working Front Desk & Reception
  • Strong proficiency in Microsoft Office suite and other office technology
  • Experience with scheduling software, knowledge of Jane is an asset
  • Business development skills
  • Strong leadership and decisionmaking skills
  • Passionate about delivering outstanding customer service as part of a team
  • Ability to work Saturdays (alternating with other Front Desk staff) and occasional evenings if required to cover illness, holidays, etc.
