EXECUTIVE ASSISTANT - VICE PRESIDENT, UNIVERSITY RELATIONS

FULL-TIME PERMANENT POSITION

REGINA, SASKATOON OR PRINCE ALBERT CAMPUS

  • The Executive Assistant reports directly to the Vice President, University Relations. This position is required to establish and maintain a wide range of professional relationships and effective interactions with all internal stakeholders (students, staff, faculty and administration) across the University and with external partners. This position works under pressure in a fastpaced environment, dealing with competing deadlines in an environment of continuous change. On a daily basis it will be necessary to adapt to shifting priorities and timelines, frequent interruptions and competing interests. There is considerable discretion required as the position is privy to, and works with, highly confidential information.

Duties and Responsibilities:


  • Strategically manage the schedule of the Vice President, establish standards that provide a balance between meetings and office/work time.
  • Provide effective senior administrative and communication support for the Vice President such as: coordinate all travel arrangements including flights and accommodations; developing agenda, briefing notes and background material; follow up on action items; monitor and draft correspondence on behalf of the Vice President.
  • Provide assistance with budget planning and manage all aspects of finance.
  • Work collaboratively with internal stakeholders at various levels throughout the institution.
  • Ensure effective communication, problemsolving, and collaboration between other senior administrators and executive assistants.
  • Work with the Vice President to identify, adopt, implement, and monitor best practices in strategies, initiatives, and projects.
  • Support emerging projects and initiatives within the office as they are seen through to completion.
  • Ensure that work performed is completed within deadlines, by ensuring a clear understanding of the required deadlines and effectively setting work priorities; Use judgement, confidentiality and discretion when handling sensitive issues.

Qualifications:


  • A relevant undergraduate degree is required. A Bachelor of Administration degree is an asset. A combination of education and experience may be considered. Knowledge of Indigenous cultures, protocols, and perspectives.
  • Minimum of 5 years progressively responsible experience providing support to senior level administrators (preferably in a postsecondary setting) including administrative and communication support. The ability to work effectively and discretely with confidential information is essential.
