Research Support Specialist:


Primary Purpose:

The purpose of the Research Support Specialist is to deliver exemplary research fund administration and financial support to faculty, researchers, departmental staff and university central finance at the Western College of Veterinary Medicine (WCVM).

This position is accountable for managing multiple research projects and funds from pre-award to post-award through effective, timely and reliable administrative services and in accordance with relevant legislation and regulations, university policy, guidelines and applicable collective agreement(s).


Accountabilities:


  • Provide interactive, highquality financial reporting, budgeting and human resources support to faculty members and principal investigators (PI's) conducting research within the college.
  • Meet agency and university guidelines and published time tables and deadlines.
  • Advise the PI on administrative requirements for preparing reports and on budget adjustments if needed.
  • Review new research proposals with PI's and advise on consistency, accuracy, and completeness (e.g., adherence to research agency guidelines on budget and HR requirements)
  • Coordinate with relevant individuals to make adjustments to payroll for all budgeted positions.
  • Monitor project status and advise PI on requirements and deadlines associated with research reporting deadlines.
  • Assist PIs with nonfinancial report submissions, as necessary.
  • Work with PIs and faculty to close out funded projects that require extended coordination, all in accordance with university processes and timelines.
  • Liaise with staff, management and stakeholders (e.g. RASI specialists) to ensure seamless and efficient resolution of outstanding inquiries, activities and associated administrative processing.
  • Work effectively with other offices (REI, SBA's, Colleges/Units) to support faculty's research administration needs.
  • Perform other related responsibilities as required.
  • Establish, maintain and monitor effective administrative and financial procedures in order provide advice, development, coordination and monitoring of research fund budgets and forecasts; financial statements monitored on a projectbyproject basis; timely processing of payments and invoices; methods of tracking aspects of project funds; paper and electronic documentation are maintained for audit compliance. Processing of a variety of transactions (payroll EJS, JV's and others) monthly reconciliations, monitoring of research project end dates, closing of funds or extensions
  • Ensures financial activity complies with legislation, general accounting principles, terms and conditions of agreements with external parties, and University policies and procedures
  • Ensures all Triagency related expenditures are compliant and eligible with the Tri-Agency award terms and conditions and the Tri-Agency policies and procedures as set out in the financial administrative guide. Also ensures compliance with university policies and procedures.
  • Ensures compliance and accuracy on financial statements & prepares external reporting requirements, including budgets, projections, contracts, transaction details, salary attestation forms
  • Assists the Manager of Finance and Administration with the yearend activities for all research funds, strategic planning, and developing of new processes to increase accuracy and efficiencies in the workplace.
  • Independently prioritizes daily tasks and responsibilities to meet various deadlines.
  • Exercises discretion and professional judgment in maintaining confidential information.

Education:


  • A relevant university degree is required. An equivalent combination of applicable education and experience will be considered for this position.

Experience:
Three to five years in research and financial administration within a customer-oriented environment. Experience working in a diverse and inclusive environment.
