Production & Administration Coordinator:
What You'll Be Doing:
Assist with Production Scheduling
- Review master production schedule on a daily basis with Manufacturing Operations & Production Managers to ensure materials and staff are in place to meet capacity requirements. Conduct long term schedule forecasting to ensure efficiency.
- Analyze and approve changes to the Master Production schedule
- Maintain constant communication between Factory and Sales to ensure that priorities are achieved.
- Identify discrepancies and mitigate risks for meeting committed ship dates.
- Report to management team on projections for upcoming weeks, months, and quarters.
- Monitor work in progress on the production floor and adjust schedule when required due to material shortages or other production interruptions.
Inventory Management/Procurement
- Manage and review vendor purchase orders for all items to ensure costing, order quantity and lead time is correct.
- Manage physical inventory, documenting location (as specified by the factory manager), quantity, and ensuring our inventory counts are accurate and consistently maintained.
- Systematically review the usage rate of production materials and recommend reorder dates, analyse costs and run reports.
Vendor and Supplier Management
- In conjunction with the Manufacturing Supervisor, manage the vendor selection process to ensure that the suppliers meet company requirements for quality, lead time and cost effectiveness.
- Ensure have diverse pool of vendors so not reliant on a single vendor for any one product. Maintain and build relationships with vendors to ensure have options available.
- Manage ongoing pricing, lead time and quality issues as they arise with existing vendors.
- Work with vendors responsible for facilities oversight to ensure that our physical space is operating smoothly and meeting the needs of all functional areas.
Oversee Daily Order Administration:
- You will support general manufacturing and supply chain projects, purchasing of raw materials, components, and supplies to support production schedules & to plan daily work order releases to production and ensures schedules are met.
- Generate purchase orders for raw materials and components. Closely monitor supplier delivery schedules and routinely communicate with vendors to expedite deliveries when needed to ensure component availability.
- Responsible for planning and monitoring production and maintaining inventory levels of components and finished goods to ensure consistent levels of finished goods are on hand to satisfy customer demand.
- Develop a positive and cooperative working relationship with suppliers through regular, proactive communication.
- Receive and reconcile deliveries against purchase orders. Complete documentation and transactions in the ERP system.
- Maintain Material Item Masters, Bills of Materials, Routings, Production Revisions, and other ERP inputs for manufactured items.
- Work closely with suppliers and quality assurance to resolve quality issues.
- Takes on projects that require knowledge of inventory & production management.
- Tracking of all customer PO/sales orders, incoming repairs and daily follow up of work order production schedule.
- Managing receipt of all received goods and maintaining all inventories (raw materials finished goods).
- As requested Generating Operational reports, on daily and weekly basis as well as maintain databases.
- Verify all orders and other shipments prior to outbound shipment & Prepare all supporting documents (shipping labels, customs declarations, product tags etc.)
- Maintain the filing system, other presentations and other documents on a regular basis.
- Develop process documentation, work instructions, and standard operating procedures (SOP) pertaining to process flow and operational interactions.
- Maintain the filing system of product technical specification and quality assurance reports.
- Define manufacturing processes (assembly, quality inspections, etc.) and generate associated work instructions;
- Develop and implement process controls through digital work instructions
- Ensure the production process advances according to procedures and intervene with modifications if necessary;
- Identify and analyze process improvements;
- Participate in the continuous improvement of production processes and cost reduction;
- Develop and maintain a database of the parts, documentation, and processes;
- Other duties as required
Required Qualifications & Skills
- Must have University degree or College diploma in either Business Administration, Commerce, Supply Chain Management or Logistics
- Minimum of 3 + years of directly related experience working with production or comparable product & leading a team or group of staff
- Demonstrated experience and knowledge of Master Production Scheduling in manufacturing environment and experience.
- Proficiency with Microsoft Business Central & Microsoft Office tools (
