McMaster University Library is seeking an innovative, forward-looking and collaborative leader to assume the position of Manager of Finance and Administration (MFA).

This is a full-time, continuing appointment, reporting to the University Librarian. Opportunities for renewable hybrid work from home arrangements are possible with the approval of the University Librarian. The target hiring range for this position is $84, $99,853.78.


The Manager of Finance and Administration provides leadership and strategic direction for the financial management of revenue and expenses as well as the business administration for the University Library.


This position is responsible for all facets of financial management of the University Library including operating funds, trusts/endowments, grants, and financial gifts.

The position leads the development and planning of the University Library's annual budget. They ensure timely and detailed financial reporting within the University and to external agencies.

The position oversees many key administrative functions in the University Library (including space utilization, risk management and contingency planning). They ensure the University's operational and administrative compliance with university policy and objectives and government guidelines and regulations.


The Manager of Finance and Administration is a member of the Library Leadership Group (LLG), the senior team responsible for all aspects of strategic and operational planning for the University Library.

This position represents the University Library on various campus projects and committees related to finance and administration.


The Manager of Finance and Administration is responsible for the day-to-day operations of the University Library in the absence of the University Librarian, Associate University Librarians and Associate Directors.

The Manager of Finance and Administration is supported by one Financial Coordinator and one Accounts Assistant.


Financial Management:


The Manager of Finance and Administration works with the University Librarian to determine and implement financial priorities and plans for the University Library.

The Manager of Finance and Administration develops, recommends, implements, and monitors the annual budget to ensure that adequate financial controls are in place and that they are in accordance with University policies and procedures.

The Manager develops short and long-term financial models, plans, priorities, and objectives for the University Library and regularly reviews financial reports to identify variances.

The position directs the financial administration of the University Library including financial planning and forecasting, budget analysis, accounting and reporting to ensure financial integrity is maintained.


The Manager of Finance and Administration liaises with the Director, Health Science Library to help promote consistency between the two budget submissions.


Additionally, the Manager of Finance and Administration:

  • Compiles budgetary recommendations from each department and prepares operational budgets; monitors, verifies and reconciles expenditures of budgeted funds.
  • Prepares monthly financial reports for the University Librarian; prepares consolidations each quarter providing updated projections for revenue and expenditures and revising the financial plan accordingly.
  • Provides the University Librarian and the Library Leadership Group with detailed information on the status of the finances of the University Library. Acts as an advisor for the purposes of making informed short and longterm strategic financial decisions.
  • Conducts revenue and cost analyses of proposed projects and programs. Recommends changes to enhance cost effectiveness and efficiency.
  • Uses and reconciles various systems of financial data to ensure the accuracy of the University Library's financial statements.
  • Maintains checks on financial expenditures and prudent utilization of resources. Recommend cost reductions where appropriate to reduce waste.
  • Ensures compliance of the Library Services Platform to university policies for procurement. This includes creation of purchase orders, item receipt, payment, and reporting.
  • Authorizes expenditures; reconciling all accounts and revenues; ensuring compliance with University and Library budget policies and financial procedures.
  • Prepares interim and yearend financial statements. In collaboration with the University Librarian, presents the University Library budget to the Provost and the Budget Committee.
  • Monitors and addresses currency issues that affect the University Library's purchasing budget and develops plans to mitigate any negative impacts.
  • Implements yearend reconciliation for operational budgets in preparation for the external auditors, the University Budget Committee and the Provost's Office.
