Job Purpose
The Site Coordinator performs many of the administrative tasks necessary to support the management of a construction site.

Accountable to both the Site Supervisor and the office project management team, the Site Coordinator will fulfil reporting requirements on behalf of the site.

They may also act as a point of contact for trades and the coordination of activity on site under the direction of the Site Supervisor.


Duties and Responsibilities

  • Prepare and maintain communications and documentation with construction subtrades
  • Timely placement of orders to maintain inventory of required site material
  • Create and maintain project logs, and lot files
  • Site daily logs including progress photos
  • Assist in coordinating municipal inspections
  • Schedule subtrade meetings and Safety Tool Box Talks
  • Prepare and distribute all meeting minutes, Job Hazard Assessment Reports, Safety Tool Box Talks, site progress photos, siltation control reports.
  • Complete all WSIB forms and injury reports promptly, as may be required.
  • Receive, examine and process documentation, ensuring accuracy and timeliness for distribution to other departments
  • Track, sort and distribute all paperwork to and from Head Office
  • Provide administrative and clerical support to the Site Supervisor as required
  • Prepare and code purchase orders and completions
  • Maintain a clean and organized site office environment
  • Administer weekly time sheets for payroll of field staff
  • Assist Trade Partners with respect to extras, drawings, completions and building supplies
  • Prepare, print, and monitor weekly construction status reports for upload to or submitting to the Project Coordinators
  • Notify Utility companies of closing dates and request final readings
  • Data input and information management to generate work orders for the timely completion of PDI deficiencies
  • Maintain the construction schedule
  • Schedule building inspections
  • Schedule third party inspections
  • Schedule deliveries of materials for trades
  • Update Procore daily log
  • Input submittals in Procore as received
  • Office & site records (Daily Logs)
  • Set up site office filing system
  • Maintain employee schedule
  • Control inventory of construction building supplies for Averton service & labour staff
  • Receive all deliveries and notify appropriate supervisor, trade, or employee
  • Schedule gas finals and any other appointments with appropriate persons
  • Receive all building inspectors and have paperwork ready and notify appropriate supervisor, trade or employee Via Text or Call
  • Prepare paperwork for appropriate staff
  • Take minutes of meetings and distribute, as necessary
  • Conduct toolbox talks if required
  • Prepare and maintain pour break schedule as well as third party concrete testing
  • Order water meters
  • Book any necessary training for Averton employees
  • Markup drawings to document asbuilt conditions and circulate to PM Team
  • Organize and distribute necessary drawings for Averton staff, trades, building inspector and office
  • Update and maintain MSDS sheets
  • Update and maintain safety board
  • Markup drawings as required
  • Administer Health & Safety initiatives, including observations from safety inspections
  • Ensure all trades have completed orientation and the appropriate forms are uploaded into Procore and filed
  • Ensure all necessary MOL requirements are available on site (i.e., Form 1000)

Qualifications

  • Strong clerical and administrative skills including proficiency with Office 365 suite of programs
  • Basic knowledge of safety regulations including OHSA, WHMIS
  • Familiarity with residential construction management processes
  • Procore an asset
  • Experience working on a residential construction site
  • Post-Secondary degree/diploma/certificate in Architecture or Construction Management from an accredited institution.

Physical Demands
Sedentary strength demands include exerting up to 50 pounds occasionally or negligible weights frequently; sitting most of the time. Continuously requires vision, hearing, twisting, and talking. Frequently requires standing, fine dexterity, sitting, and handling. Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching. Rarely requires climbing
