    Opportunity

    MacEwan University is seeking a resourceful and service-oriented Administrative Assistant to the AVP (Administrative Support IV) for a full-time continuing opportunity with our kihêw waciston Indigenous Centre. Reporting to the Associate Vice President (AVP), Indigenous Initiatives and Engagement, you will provide high-level, comprehensive administrative support to the AVP, and other areas of kihêw waciston, ensuring that communications, interactions, and administrative support are delivered with the highest standard of excellence, confidentiality and professionalism.

    Key responsibilities include:

  • Managing the AVP's calendar;
  • Responding to queries and triaging issues as the first point of contact for the Office of the AVP, ensuring critical and sensitive matters are prioritized and handled expeditiously;
  • Planning and coordinating meetings, including drafting agendas and recording and distributing meeting minutes;
  • Researching and preparing background materials, correspondence, written responses, guides, and business workflow documents;
  • Coordinating special events, activities, and guests on campus, including room bookings, setup and equipment, catering, accommodations and travel, invitations, and promotion initiatives;
  • Assisting with human resources submissions and processes, as well as staff onboarding and orientations;
  • Managing departmental assets, office supplies and mail;
  • Reconciling purchasing card transactions and supporting staff with expense submissions; and
  • Tracking, preparing, and coordinating reporting for the Government of Alberta, grants, and annual internal report summaries.

  • The ability to create professional reports and correspondence;
  • Knowledge of FOIP and records management policies, practices, and legislation;
  • Knowledge and understanding of Indigenous culture;
  • Demonstrated commitment to fostering a collaborative working and learning environment that celebrates diversity and inclusion; and
  • Proficiency in using Microsoft Office and Google applications and Enterprise Resource Planning (ERP) systems such as PeopleSoft.
  • Qualifications

  • A minimum of a diploma in Office or Business Administration or a related field of study.
  • A minimum of three years of progressively responsible and diversified administrative experience.
  • Indigenous lived experience and an understanding of Indigenous knowledge systems.
  • Experience in a post-secondary or related public sector environment is preferred.
  • An equivalent combination of education and experience may be considered.
