Time Required on-site: approximately 20% - 40% (if possible, more in-person time for the first three months)

The Grant Writer & Special Projects Coordinator reports to the Fund Development and Communications Director with guidance from the various program managers and ensures alignment with the YWCA Halifax's overall values, mission, and goals.

They also support the work of the Grant Analysis.


What we are looking for:


  • Understanding of and commitment to the YWCA Halifax's mission.
  • Completion of postsecondary degree/diploma in a relevant field.
  • Three (3) years previous experience as a grant writer in a social service organization or other complex nonprofit with multiple constituencies and programs.
  • Outstanding writing ability in English that is clear, concise, and analytic in style.
  • Ability to write for various audiences including foundations, donors, and broader general constituencies.
  • Good public relation and interpersonal skills and the ability to interact with funders, donors, volunteers, staff, and the public with the ability to build successful working relationships with internal and external partners.
  • Comfortable with data management and administration.
  • Organized and detailtodeadline oriented.
  • Ability to use foundation and prospect research tools such as Grant Connect as well as a donor database or CRM, and Microsoft office tools, with a particularly strong mastery of Microsoft Excel.
  • Independent selfstarter with high initiative and the ability to work both independently and as part of a team.
  • Able to respect and maintain a high degree of confidentiality.
  • Ability to work remotely and inoffice, as well as evenings and weekends as required.

Primary duties:


  • Responsibility for researching, writing, compiling, and managing the timeline of all grants including maintenance and oversight of workflow processes and procedures to ensure accurate and efficient collection and timely submission.
  • Conduct prospect research, including identifying and qualifying individual, corporate, government, and foundation prospects using publicly available information, as well as by mining data from internal sources (donor database), and tools such as Grant Connect, ensuring funder's alignment with the YWCA Halifax's mission and values.
  • Work with all departments to collect and synthesize information. Oversee grant workflow processes to ensure adequate internal controls and work with the Grant Analyst to ensure that all grant reporting is completed.
  • Maintain highly accurate and current funder data that effectively tracks key information, cultivation activities and histories.
  • Provide links between program, finance, and other staff so that all activities related to grant data collection and reporting are smoothly implemented.
  • Ensure compliance with CRA regulations and foundations' requirements for grants.
  • Work closely with the Communications and Engagement Coordinator as well as Program Managers and team members to respond to requests for special reports, collaterals, and nongrant materials with a strategic perspective.
  • Provide support to the Grant Analyst as required.
  • Create and generate various financial and dashboard reports for the Director of Fund Development and Communications and other staff. Assist in the preparation of materials for Board meetings and the Annual Report.
