Job Summary:

The Research Administrator III routinely performs functions relating to the operations of Research Facilities. Applies advanced knowledge and skills to provide secretarial and administrative support services to senior professional staff. Exercises moderate independent judgement and decision making, using established policies and procedures, to resolve problems.

Interacts with both internal and external contacts primarily for the purposes of exchanging information and resolving problems within scope of authority.

Responds to inquiries requiring a broad understanding of program/division and UHN policies and procedures. Addresses and resolves nonstandard, unexpected and/or complex issues. Communicates and interprets policies and may develop internal procedures. Adapts communication to different audiences using discretion and judgment. Exercises discretion in handling confidential program/corporate function information. Works under the direction of a Manager and/or Director responsible for a major program and a large department


Responsibilities:


  • Follows departmental procedures and recommends changes to work processes. Creates and maintains filing systems and monitors efficiency. Initiates changes and updates to work manuals and procedures for own area.
  • Composes and edits correspondence and documents using various software. Coordinates mass mailings using mail merges for highprofile events, conferences, retreats, etc.
  • Creates, maintains and distributes departmental databases/reports based on information from various sources.
  • Monitors and analyzes departmental/lab grant budgets (e.g., drafts budgets for approval; monitors and analyzes accounts, identifies variances).
  • Plans/coordinates highprofile onsite or offsite events with time lines that range from weeks to months in advance. Typically reproduces established events but may create such events from scratch. Planning requires coordination and input from multiple stakeholders.
  • Responsibilities include: marketing, registration, catering, technology, venue, speakers, domestic and international travel arrangements (including visas if applicable, hotel accommodations, etc.) and itineraries for individuals and groups.
  • Proactive and independent management of calendar using diplomacy given nature of contacts such as internal and external senior leaders and prioritization of competing demands.
  • Plan and coordinate for assigned personnel attending conferences and offsite events by organizing travel arrangements, accommodations, event registration, preparation of meeting materials and submission of expense reports.
  • Participates in departmental and/or UHNwide committees as required or requested.

Qualifications:


  • At minimum a Community College Diploma in General or Medical Office; Bachelor's degree or equivalent preferred
  • Minimum four (4)
