As Fellowship Program Administrator, you will work collaboratively with team members and the Program Director to support Canada's largest fellowship program in Psychiatry.

Serving as the primary point of contact, youwill respond to all fellowship program related inquiries for a variety of stakeholders, nationally and internationally.

You will liaise with trainees and faculty to coordinate program activities, assist with the execution of events and provide a wide array of program support.

Your outstanding organizational skills and clear and effective communication skills will contribute to the ongoing success of the fellowship program.


Your responsibilities will include:


  • Acting as the first point of contact, responding to inquiries and redirecting to other staff or faculty as appropriate
  • Providing detailed information to students on program and/or course requirements
  • Liaising with students and faculty to coordinate rotation and program schedules and program activities
  • Updating, monitoring and maintaining trainee records and generating reports
  • Scheduling committees, taking meeting minutes and coordinating agendas, materials, action and followup items

Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum two years of related experience preferably in an educational environment
  • Experience supporting academic or educational programs and coordinating program schedules
  • Experience coordinating events and supporting committees
  • Experience drafting correspondence and maintaining databases and generating reports
  • Advanced proficiency in MS Office Suite, learning management systems, web conferencing platforms and survey tools
  • Excellent communication skills, both verbal and written
  • Excellent time management skills and ability to set priorities and meet concurrent deadlines
  • Proven accuracy and attention to detail, creativity and resourcefulness
  • Excellent organizational skills, demonstrated diplomacy, judgment, and initiative
