Programs and Agency Network Administrator

Job Purpose
Administration and implementation of Programs & Agencies initiatives and daily operations with the goal of ensuring consistent service and communication with the TMFB Member Agency Network.

Agency Administration (35%)
Primarius Web Window Ordering Platform:
- Lead the implementation of the Primarius Agency Web Window (PWW) ordering platform
- Develop relevant communications and training materials to facilitate networkwide roll out of the PWW agency ordering system
- Implement an agency communications plan and maintain agency web window mainpage
- Act as the main point of contact for questions regarding agency ordering
- Liaise with internal logistics and warehouse team to ensure delivery needs are being met without service disruption
Administer additional agency management tools:
- Collaborate with team members to keep Salesforce CRM uptodate, including creating and maintaining member agency profiles as needed
- Support agency members to ensure timely and accurate input of data into the Link2Feed intake systems
- Work collaboratively to implement processes and procedures applicable to Salesforce, Link2Feed, and other agency management tools
- Assist in pulling and providing information contained in agency management tools required by other departments
Develop and maintain excellent working relationships with TMFB agencies:
- Serve as a liaison to member agencies, assisting in solving problems, implementing TMFB strategies, or carrying out their work to meet standards in coordination with the Programs and Agency Network Supervisor
- Maintain and administer complaints tracking, providing reports as necessary and communicating client complaints to member agencies in a timely manner
- Conduct site visits with agencies and perform virtual meetings with Member Agency Network representatives on an ongoing basis
- Monitor, educate, and provide guidance to agencies on correct implementation of TMFB standards.
- Assist with vetting and onboarding of new Agency Network Members
- Support TMFB direct client programs as needed, including assisting with program administration and intake needs for Pop up Programs and Tax Clinic
- Work with member agencies to improve capacity scores and optimal client service
- Administer the annual agency agreement renewal process and provide overall administrative support to ensure member agencies meet their obligations
- Ensure agency network information is uptodate and communicate across departments (maps, TMFB website, print materials, agency referral brochures, etc.)
- Bachelor's degree, or equivalent education and experience in a related field, plus 2 years experience in a community services, customer service, public administration, notforprofit, or related field
- Good knowledge of or experience with agencies and community support structures in the Mississauga or Peel region will be an added advantage
