Your opportunity:


Reporting to the Assistant Dean, Open Enrolment Programs at U of T SCS, the Administrator, Office of the Assistant Dean will provide administrative support for a wide range of people, projects and initiatives relating to non-credit, open enrolment courses and certificate programs.

As a key member of a fast-paced, revenue-generating, entrepreneurial team, the Administrator will be responsible for ensuring that events, initiatives and special programs are well organized and executed.

The incumbent will be responsible for coordinating meetings with internal and external partners and clients, managing calendars and schedules, planning and executing correspondence, conducting desk research and preparing reports and providing general administrative support.

The Administrator will also act as the first point of contact for inquiries relating to academic programs and any emerging issues.


This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limitied to the University of Toronto's Alternative Work Arrangements Guideline.


Your responsibilities will include:


  • Determining actionable items based on the review of applicable information
  • Analyzing administrative and information requirements
  • Keeping wellinformed on University programs, policies and procedures
  • Resolving issues within the scope of the role and escalating problems as required
  • Conducting market research and analysis
  • Writing and editing targeted communications to support strategic initiatives
  • Implementing project plans
  • Determining logístical details and activities for events and/or programming

Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years of recent relevant experience in a senior level administrative/coordinator position, preferably in higher education.
  • Experience acting as the first point of contact for general enquiries for a program or department.
  • Experience managing senior level calendars and scheduling appointments.
  • Experience writing/creating and editing communications and documents.
  • Experience scheduling meetings, distributing materials and taking minutes. Experience following up on action items and making recommendations.
  • Experience coordinating tasks for projects and or strategic initiatives with stakeholders.
  • Experience compiling information related to new programs and/or services.
  • Experience in event planning, including hands on planning, organizing, executing and follow up.
  • Experience handling sensitive information and maintaining confidentiality.
  • Experience with supporting projects.
  • Entrepreneurial spirit that highlights the ability to effectively support a revenuegenerating entrepreneurial team.
  • Good problem solver, excellent attention to detail, strong organization, time management skills and proven ability to meet tight deadlines.
  • Ability to maintain a positive and helpful customer service orientation and to demonstrate diplomacy in a fastpaced environment.
  • Excellent interpersonal skills required to foster a positive and productive working relationship with partners, learners, instructors and staff.
  • Exceptional written and oral communication skills; strong command of grammar and English usage, to include accuracy in proofreading, drafting correspondence and editing.
  • Must be able to work effectively and positively with others and demonstrate a commitment to inclusive excellence.
  • To perform the essential functions of the position, must be able to lift weight up to 25 kilos. Mainly for the set and take down functions related to events.
