Overview:


This position is the primary contact for faculty, staff and students in Environment for exchange programs, liaising with the Student Success Office (SSO), Registrar's Office (RO), advisors in Environment and exchange coordinators in other faculties to provide guidance and advice on student exchange opportunities (inbound and outbound).

This position also assists the Faculty Undergraduate Operations Manager with a variety of undergraduate operations, including development and maintenance of undergraduate webpages containing information relevant to faculty, advisors, and students in addition to responsibilities for the coordination of undergraduate celebratory awards and events.


Responsibilities:

International exchanges for the Faculty of Environment

  • Faculty contact for the Global Learning Team in the Student Success Office for exchange programs and procedures
  • Member of the International Exchange Committee
  • Maintaining exchange program files and databases (e.g., students, partner universities, transfer credit assessments) and relevant web pages
  • Assisting incoming exchange students with course selection/changes (add/drop) and enrolment approval processes
  • Advising outbound students of eligibility for participation in exchange and ensuring they meet eligibility requirements until the time they leave for their exchange
  • Assisting outgoing exchange students with approvals, course equivalencies, letters of recommendation
  • Working with the SSO, Records Supervisor for Environment, and other Faculty Exchange Coordinators to offer information and support participants on exchange opportunities, ensuring appropriate course selection (incoming exchange students) and transfer credit assessments (outgoing exchange students)
  • Providing advice to prospective outbound exchange students on finding an exchange program that would be a good fit for them and their plan
  • Promoting exchange events and participating in the SSO's Go Abroad Fair each fall
  • Creating resources and liaising with the academic advisors to help outbound students plan for their exchange
  • Providing input with creation and renewal of exchange agreements
Supports undergraduate activities and awards including but not limited to:

  • Organizing the annual Valedictorian, Academic Achievement Awards and Alumni Gold Medal Selection Processes
  • Coordinating the Coop Work Term Report Awards each term
  • Graduating DHL letters from the Dean for spring and fall convocations
Supports the Faculty Undergraduate operations in a range of activities including:

  • Creating and maintaining undergraduate webpages, manuals, and online forms
  • Updating and distributing memos (including relevant webpages) from the Associate Dean, Undergraduate
  • Supports administration of ENV courses
  • Undertaking special projects as required
Supports the planning, promotion and execution of Faculty-wide student events including but not limited to:

  • Student Leadership Breakfast
  • Coop Work Term Report Award Presentations
  • Valedictorian selection
  • Reception for convocation award recipients (Academic Achievement Awards, Alumni Gold Medal, Valedictorian)

Qualifications:

  • Postsecondary degree or diploma and administrative experience required or equivalent education and/or experience
  • 4 years of administrative experience, including front line service
  • Familiarity with University policies and procedures relating to all aspects of undergraduate studies and academic plans
  • Proven ability to balance conflicting demands and prioritize tasks effectively
  • Experience with student international travel and exchange desirable
  • Experience with UW software (ARCHIBUS, QUEST, ASIS, etc.) considered an asset
  • Experience developing web content and forms (WCMS)
  • High understanding of confidentiality and the importance of data integrity
  • Ability to communicate with varied audiences and build strong working relationships
  • Excellent oral and written communication skills
  • Excellent human relations skills; proven ability to guide students, foster constructive team relationships, and to work effectively with faculty, staff and students
  • Demonstrated initiative
  • Sound judgment, tact and diplomacy
  • Able to work both collaboratively as well as with little supervision to undertake a range of administrative duties
  • MS Word: intermediate
  • Excel: intermediate
  • PowerPoint: average
  • Web content management software: average, experience with SharePoint
  • Occasional nights and weekend work required
