The Website Project Administrative Coordinator works closely with the Rotman Marketing team, our vendor partners and our internal stakeholders to facilitate the successful implementation of the School's new website.
Set to launch in May 2024, the project coordinator will play an instrumental role in facilitating content migration, inclusive of setting up the timelines and file system for document review and transfer, coordinating feedback sessions on wireframes and design templates, keeping a close eye on deadlines for deliverables such as coordinating input on the functional specs, monitoring the progress of testing and QA, scheduling training sessions, etc.
Finally the coordinator will roll up their sleeves and help with adding content and assets to the CMS system as we head towards launch, as well as helping to execute the communications plan.

Your responsibilities will include:
- Coordinating tasks for projects and other strategic initiatives with stakeholders
- Developing task schedules in concert with project schedules
- Fostering positive relationships with project partners
- Maintaining and organizing project documentation
- Coordinating meeting schedules, agendas, materials, action and followup items
- Informing senior staff of concerns or setbacks
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum five (5) years recent and related experience with senior administrative and project coordination using work plans, preferably in an academic environment.
- Demonstratedproject coordination experience, including process development, implementation and evaluation in collaboration with stakeholders
- Experience with organizing/scheduling and tracking multiple projects and timelines.
- Experience in guiding website redevelopment projects from conception through to completion/launch.
- Experience supporting working groups and committees, including minute taking and preparing agendas and supporting material.
- Demonstrated clientservice focus and experience in a client
- Advanced skills in Microsoft Office Suite including Teams, Outlook, Excel, Word, Access and PowerPoint.
- Strong planning, organizational, analytical and problem solving skills.
- Strong and accurate data entry, wordprocessing and keyboarding skills.
