What we are looking for:


  • We are currently hiring for an HR & Payroll Administrator, this is an ideal role for someone who is detailoriented and excited about getting involved in a wide variety of Human Resources activities and wanting to grow their experience and knowledge in payroll, benefits, and HR for both Canada and the US.

What will you be working on:

How You fit into the Team

  • The HR & Payroll Administrator reports to the Director of Finance and HR Manager. They work closely with the rest of the finance team and HR team.

Primary Duties
Payroll

  • Processing and calculating full cycle Canada and US semimonthly payroll for 90+ salary and hourly employees, including CRA Receiver General remittances
  • Set up of new hires and ongoing maintenance of employee information in timekeeping (Unanet) and payroll system (ADP)
  • Process ROEs, job letters, as well as handling inquiries relating to the following:
  • Secondary contact for employees/managers on questions relating to payroll, group benefits, voluntary RRSP contributions, personnel information changes
  • Frequent communication with ADP Workforce Now for payroll inquiries
  • Participate in payroll reviews and audits as required
  • Assist the Finance Team in the review and approval of timesheets
  • Prepares and maintains payroll information through the thirdparty vendor by collecting, calculating, entering, and reconciling data
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Calculate taxable benefits regarding group insurance, reward programs etc.
  • Ensure compliance with governmental laws on payroll accounting and taxes and best practices of each including submitting various forms/reports to local governing bodies
  • Contributes to monthend and yearend closures as required
  • Assists finance team with maintenance of database software

  • Full cycle administration of group benefits plan including group retirement plans (monitoring eligibility, enrollment, termination, changes, reviewing monthly statements for accuracy, etc.)
  • Maintains employee benefits programs as they relate to payroll and validates calculations
  • Support the HR team in setting up, maintaining, and reconciling benefit accruals
HR

  • Provide administrative support throughout full cycle recruitment (internal and external)
  • Responsible for HR administration including employee records, files and documentation management
  • Schedule meetings, interviews, reviews, HR events etc
  • Maintain employees' records including files and upkeeping employee profiles on ADP and in Unanet
  • Assisting and supporting all onboarding and offboarding
  • Participate in different initiatives and special projects related to payroll and/or HR
  • Other duties as assigned by the Director of Finance or HR Manager

Qualifications

  • 2+ years in an accounting role performing full cycle payroll in Canada (US payroll experience is considered an asset but not required)
  • 12 years of knowledge and experience in pension, benefits and/or human resources is preferred
  • A postsecondary education degree or diploma in Business Administration, Accounting, Finance Commerce or Human Resources is preferred
  • A CPP (Certified Payroll Practitioner) is preferred
  • CPHR (Chartered Professional in Human Resources) designation or equivalent would be considered an asset but is not required
  • Strong working knowledge of Microsoft Office (Excel and Word)
  • Working knowledge of ADP Workforce Now / ADP considered an asset
  • Strong attention to detail
  • Strong time management skills
  • Strong interpersonal skills
  • Quality written and verbal communication skills; able to communicate within the team and with external teams or clients
  • Ability to work in an environment driven by multiple deadlines
  • Highly motivated with attention to detail
