The project manager will work on various client events as part of the team.Project Managers report to the President though the office is very much a collaborative environment.
It is an excellent learning opportunity for someone who wishes to pursue a career in event management and production, or for someone who is a strong administrator who wishes to contribute to a creative work environment.
The Project Manager provides a variety of administrative support responsibilities, necessary for the design and execution of our special events.
A summary of responsibilities follows:
- Conducts research to find special products and services that may be needed for special events.
- Assists in developing creative concepts for special events.
- Develops written proposals that offer solutions to client's needs.
- Works with subcontractors to obtain quotations, communicate status, place orders, prepare purchase orders and manage contracts.
- Prepares contracts, purchase orders, production schedules and more.
- Organizes production documents for easy reference by event team.
- Assists clients by facilitating communication, providing information and servicing their needs.
- Acts as a communications liaison between account managers, clients and production team to professionally execute a production.
- Attends, participates in, and takes notes at internal and external production meetings, necessary for the coordination of events.
- Occasionally participates in productions onsite, assisting with the physical set up of décor, food and beverage, and management of production details.
Attributes and Requirements
- 13 years experience within the hospitality industry and/or administrative and/or sales experience.
- An outgoing personality with excellent written and verbal communication skills.
- Ability to enthusiastically lead or be part of a team.
- Strong organizational and multitasking skills.
- Outstanding detail management skills and follow through.
- Proficiency in G-Suite Microsoft Word, Outlook, Excel, and Power Point as well as the ability to learn and utilize new computer software programs.
- Ability to identify needs and work proactively to resolve them.
- Strong verbal communication skills including the ability to provide clear, direct information as well as the ability to listen, comprehend and respond.
- Excellent written communication skills including grammar, creative writing, and spelling.
- Availability to work 9 a.m. to 5 p.m., Monday through Friday, with potential weekend and evening work as necessary.
