Description

The Coordinator, Building and Code Projects plays a key role in overseeing and maintaining the portfolio wide capital expenditure workflow process including assisting in the preparation of annual CapEx plans, review and processing of Request for Funding submissions, ERP data input, purchase order management, invoicing, reporting administration and assistance with project execution.

The Coordinator, Building and Code Projects will contribute to assessing the core issues related to hotel building systems, gathering data, documenting, developing scope and budgets, executing select projects and closeout.


This position also assists in the development and execution of the strategic asset preservation objectives, including managing external resources, and provides technical data and guidance to the property building maintenance teams.


Responsibilities and Duties

  • Ensures accurate and timely workflow for all aspects of portfoliowide capital expenditure processes.
  • Deal directly with hotel Building Maintenance Managers, Director, Consultants and Contractors to coordinate and successfully complete projects initiated.
  • Develop project budgets and work plans; implement standard project budgetestimating and project schedule system, under direction of the Director, Capital Planning & Engineering.
  • Manage regular project coordination meetings and issue meeting minutes and associated communication.
  • Coordinate equipment commissioning and followthrough to completion with consultants and contractors.
  • Coordinate warranty inspections and followthrough to completion with consultants and contractors.
  • Develop a working knowledge of hotel processes, workplace culture and policies essential for effective project delivery.
  • Manage corporate preventative maintenance program including leveraging computerized maintenance management systems.
  • Ensures adherence to Request for Funding (RFF) procedures and is first point of review for all submissions.
  • Maintains oversight of all capital projects against budget; identify/analyze deviations.
  • Works with Director, Capital Planning & Engineering and Director, ERP & Financial Analysis to refine portfoliolevel tracking and reporting process and assists with ongoing monthly analysis and identification of trends from a portfolio perspective.
  • Provides monthly actual and forecast reporting and commentary highlighting opportunities and/or deviations.
  • Works with IT, and Directors to manage the development and preparation of the portfolio annual capital expenditure plans.
  • Maintains property building equipment lists ensuring inclusion of life cycle expectancy and building condition reports.
  • Consolidates engineer reports to establish future CapEx requirements.
  • Manages Corporate project purchase order processes, invoicing and signoff requirements.
  • Management of project contract documents.
  • Assists in ensuring accuracy and conformance to contract requirements.
  • Assists Director, Capital Planning & Engineering with technical reviews.
  • Assists with the implementation of, and adherence to, environmental standards and regulations. Includes engaging and working with environmental consultants.
  • Administers project contingency draw down process and project holdback release.
  • Other duties as assigned.

Skills, Knowledge and Abilities Required

  • Exceptional organizational and time management skills; aptitude for accuracy and details.
  • Strong verbal and written communication skills and ability to anticipate.
  • Advanced Excel skills required.
  • Knowledge of Microsoft Project is an asset.
  • Ability to multitask through planning and organizing; strong problemsolving skills.
  • A customeroriented approach to work; ability to work effectively with different people and departments.
  • A motivated team player with a cando attitude, strong sense of urgency and keen interest in improvements in systems and processes.
  • Strong knowledge of project controls functions and processes; including cost control, project accounting, planning and scheduling process.
  • Ability to manage projects from initiation to closeout.

Working Conditions

  • Normal office working conditions with a hybrid office and work from home policy.
  • Some travel within Canada will be required.

Experience, Training & Education

  • Diploma or undergraduate training in a related field.
  • 13 years of progressive experience in project coordination with building infrastructure experience
