  • The Opportunity
  • Altus Group is currently hiring a Project Administrator to work within the Toronto based Cost Consulting and Project Management Business unit. As our new Project Administrator, will be supporting the Infrastructure team members with their business development, technical delivery and administrative needs. This is a great opportunity for somebody with previous administrative experience that has an interest in Infrastructure and wants to develop their knowledge by supporting projects within this area.
  • Responsibilities
  • Lead the management of the project's secure documentation room in support of the procurement process including collection, compilation and management of drawings, reports, data documentation and any other documentation as required
  • Manage project specific task(s) status and project billing processes, including related correspondence and changes in internal project processes to maintain efficiency and cost control
  • Participate in weekly internal and external project team meetings and provide project updates as required
  • Track the progress of several concurrent projects with frequent shifts in focus through the different phases
  • Support project management and coordinate delivery to scope, schedule, budget
  • Coordinate with various discipline leads, including with client or partner organizations, to deliver project deliverables
  • Support client and stakeholder relationships development
  • Assist technical report writers and with charts, formatting, blacklining, researching and extracting relevant information and drafting certain sections of reports and other project documents, abiding by strict instructions
  • Report to Project Director and Senior Management regarding payments, monitoring financial projections and consistent communication with clients regarding payment status updates
  • Assist with weekly and monthly compliance submissions
  • Consulting with engineering staff on various project related issues, as well as liaising with external agencies, municipalities, Infrastructure Ontario, developers and their consultants and private land owners.
  • Ensure the infrastructure team's efforts are focused on delivering a high level of quality service to clients resulting in repeat business and referrals
  • Experience Required
  • Experience/familiarity with procurement, working for asset owners (government agencies), lenders and private sector consortia would be considered an asset;
  • Strong financial administrative skills, including cashflow tracking and forecasting
  • Keen attention to detail and an aptitude for problem solving
  • Excellent computer skills including Microsoft Word, Excel and Powerpoint
  • Confident communicator with ability to present work, share effectively in both in person and using virtual meeting platforms
  • Outstanding organizational skills and ability to prioritize, deliver and close out tasks
  • Able to thrive in a high volume, deadlinedriven environment
  • Excellent time management skills;
  • Able to work both individually and within a team environment;
  • Strong sense of integrity and accountability
