Detailed Overview:
Under the general supervision of the Director, Maternal-Fetal Medicine and Patient Care Manager, Perinatal Programs, provides secretarial, administrative support and receptionist duties to Maternal-Fetal Medicine and Perinatal Programs


Responsibilities:

  • Performs secretarial duties such as drafting routine correspondence, screening, prioritizing and distributing incoming mail; schedules appointments and arranges meetings; consolidates and prepares agendas; makes travel arrangements; maintains Department files.
  • Compiles, summarizes and maintains departmental records and statistical data bases related to Maternal-Fetal Medicine and Perinatal activities; develops and produces computer software related reports and forwards to appropriate party for review.
  • Compiles rosters and schedules for educational rounds for the department; prepares educational material such as slides, transparencies, graphs, charts, posters and spreadsheets; oversees the registration process for educational activities for the department which includes receiving, recording and confirming course participants; tabulates data from education related forms such as attendance records, evaluation forms and competency tests.
  • Performs reception duties such as responding to telephone inquiries and/or referring to appropriate area, taking and relaying messages and receiving and directing patients and visitors.
  • Coordinates and books patient appointments for perinatologist, medical genetics, ultrasounds and special procedures.
  • Attends meetings such as Perinatal Mortality and Morbidity rounds, departmental and strategic planning; records minutes, prepares agendas, minutes and documents arising out of these meetings for distribution and followup as necessary.
  • Arranges room booking, catering and audiovisual equipment as required; maintains timekeeping records for the department; completes and submits time sheets to payroll.
  • Develops and maintains the departmental web site by inputting changes; performs electronic reference and Internet searches.
  • Monitors stationery and supply levels; prepares stores and purchase requisitions as required.
  • Performs other related duties as assigned.

Qualifications:

Education and Experience


Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three years' recent, related experience or an equivalent combination of education, training and experience.


Skills and Abilities

  • Ability to keyboard 45 w.p.m.
  • Ability to organize work.
  • Ability to deal with others effectively.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to operate related equipment.
  • Physical ability to perform the duties of the position.
