    Salary Range: $42,564 to $50,544 per year

    Qualifications:

  • A Certificate in Office Administration or Business Administration or a combination of education, training and experience;
  • Minimum 2 years of progressively responsible office experience or in an educational setting;
  • Skilled in Microsoft office suite;
  • Excellent communication skills, both written and orally;
  • Excellent customer service skills;
  • Ability to work in a fast-paced environment;
  • Background working with disabilities and accommodations is an asset.
  • Criminal record check – vulnerable sector.
  • Class 5 driver's license.
  • Successful candidate must provide University or College Transcripts to Human Resources prior to commencement.

    Position Description

    Administrative Assistant, Student Success

    Nature and Scope of Work

    This position reports to the Chair, Student Success and supports Accessibility and Counselling services, and Student Wellness. The incumbent provides a full range of timely and confidential administrative support and related services including liaison and point of contact to internal and external stakeholders, schedule management, organizing meetings and workshops, coordinating travel and accommodation arrangements, and overseeing the management of documents and files, both electronic and hard copy. It is expected that the incumbent has a genuine appreciation for and understanding of protocol, discretion and professionalism, including the College's Duty to Accommodate, is able to accept and assume responsibility, and has the ability to interpret and make decisions in accordance with prescribed procedures and practices of the organization.

    Duties and Responsibilities

    Administrative Support

  • Draft, layout and edit routine correspondence, reports, proposals, and presentations.
  • Maintain the image of the Student Success department by ensuring that all correspondence adheres to a consistent and professional standard.
  • Respond to inquiries and determine appropriate information and support.
  • Prepare meeting agendas and background materials for distribution, as well as take and distribute meeting minutes.
  • Open, sort and distribute mail.
  • Manage the day-to-day office operations including use of office equipment and administrative support coverage.
  • Order and maintain office supplies and other resources for the office.
  • Prepare expense claims and VISA statements and acquire appropriate signatures for submission to the Finance Office.
  • Update and maintain related communication tools such as Website, Apps, etc.
  • Member of the Student Success Team

  • Responsible for information flow, has general knowledge of current issues, participates in team meetings.
  • Tracks and records information for alternate format services.
  • Assists, as needed, with administrative and support duties related to institutional admissions testing.
  • Contributes to the organization of PD activities for faculty and staff.
  • Knowledge, Skills and Abilities

    Operational Skills

  • Maintain the filing systems for Student Success in accordance with NLC's records retention regulation and procedures.
  • Maintain reporting compliance schedule and ensure that documents are vetted and submitted within the accepted timeframes.
  • Responsible for using college technology and assistive technology to share curriculum resources such as, textbooks, assignments, and exams with accommodated students.
  • Formulate requests to publishers regarding all alternate format materials in adherence to Copyright Law and send up to date records to the Copyright Officer.
  • Organize and arrange exam invigilation for accommodated students, and others within the institution, as needed.
  • Prepare alternate format for curriculum resources as needed; follow-up with students to answer questions and provide basic troubleshooting.
  • Skilled with software programs required for position (Outlook, Excel, Access, Word, Unit4 (student and financials), internet, electronic file management, etc.).
  • Familiarity with post-secondary system, and NLC student profile and programs.

  • Ability to use and maintain photocopier (copy, fax, pdf, email, etc.), shredder, printers, binders, computer hardware and cell phones.
  • Ability to analyze data and to track student success support metrics.
  • Ability to use Unit4 to enter and verify data to produce reports for internal and external strategic information and compliance reporting.
  • Prepare reports according to establish formats for distribution to appropriate parties.
  • Create and maintain, spreadsheets and databases for documents and mailings.
  • Excellent grammar and proofreading skills.
  • Education and Experience

  • A certificate in office or business administration is required.
  • Two to three years of experience in an office or educational setting.
  • Skilled in Microsoft office suite.
  • Excellent communication skills, both written and orally.
