SaskEnergy is seeking a qualified and motivated individual to join our team.

The Enterprise Information Management (EIM) Administrator provides information management services on physical and digital corporate information to business areas throughout the Company, administrating the master inventory control for SaskEnergy records, be the central point of contact for the storage and retrieval of physical records from off-site storage, and provide guidance on information management practices.

Position Details

Union - This position is permanent full time.

Core Responsibilities


Information Management Support- Support the delivery of enterprise information management practices for the ongoing management of EIM strategy and planning, secure storage and shredding or deletion, confirm disposition permissions, integration and provide expert guidance of records management practices.- Support the compliance of information management related corporate record keeping policies, standards, practices, processes, procedures, and guidelines to protect and preserve records and information assets in accordance with provincial and federal legislation and regulations.- Administer the master inventory control for corporate records in the organization, receiving inventory sheets, updating the master inventory control, and performing quality assurance checks.- Classify corporate information based on Classification and Retention Schedule.- Identify records eligible for disposal approvals in accordance with the Classification and Retention Schedule and preparing electronic and physical records and forms for disposal requests.- Provide guidance on non-records handling and destruction.- Monitor the Information Management shared mailbox and respond to inquiries in a timely manner.- Review Information Management support request tickets, providing resolution or alternative support as required.


Physical Records Coordination- Support business areas' Information Management Representatives throughout the corporation with record storage and retrieval (off-site), ensuring records are properly inventoried, packed, stored, classified, archived, retrieved, preserved, and handled appropriately.- Transport physical records from locations throughout the SaskEnergy building to a secure vault to await collection, including lifting boxes that can weigh up to 35 lbs.- Administer the non-records secure shred bins schedule including adding or removing bins.


Digital Records Administration- Provide guidance to business resources for storage, file naming, metadata, and folder structure for the storage of records in digital repositories.- Review legacy digital records for classification and eligibility of disposition or continued retention in an authorized digital repository.

Qualifications:


  • Certificate in Information Management or Information Technology.
  • Two (2) years' experience using the MS Office Suite; Excel, Word, Outlook.
  • Physically fit (documented by a physician's certificate recognizing job requirement) with the ability to lift up to 35 lbs.
OR- Grade 12 or equivalent.- Two (2) years of relevant business experience in the field of records information management.- Experience in the MS Office Suite; Excel, Word, Outlook.
