Responsibilities Include:
- Answer and direct phone calls
- Organize and schedule meetings and appointments
- Assist in the preparation of regularly scheduled reports
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; verifying receipt of supplies
- Carry out administrative duties such as filing, typing, copying, scanning etc.
- Handle sensitive information in a confidential manner
- Take accurate minutes of meetings
- Develop and update administrative systems
- Resolve administrative problems
- Receive, sort and distribute the mail
- Greet and assist visitors to the office
Qualifications include:
- Proven admin or assistant experience
- Excellent verbal and written communications, listening and customer service skills
- Professional appearance and attitude
- Organizational skills
- Multitasking skills and ability to be flexible when priorities shift
- Extensive computer and software skills (MS Office, Word, Access, Excel and Publisher)
- Health care experience, familiarity with medical terminology and Typing 50 wpm would all be considered assets
- Completed High School education (MB GED standard) and Secretarial / Admin training program but a combination of education and experience may be considered
