Purpose of the Job:

The Project Documentation Manager is in charge of:
Defining and implementing Documentation Management within the Project/Program organization
Defining and monitoring the overall Project/Program documentation
Overseeing the full Documentation Life Cycle
Ensuring compliance with the contractual documentation requirements, guaranteeing the availability, quality and traceability of all project documents.


Responsibilities and Accountabilities:
Manage the Documentation Control team
Is responsible of the deployment and execution of the documentation management process within the project team
Updates the Project Documentation Management Plan and any relevant procedures or guidelines as needed.
Confirms that rules are understood and respected by every Project Management team member.
Reinforce and actively promote strict adherence to all established processes for documentation management
Adapt and implement the Alstom standard documentation structure to the Project.
Make sure internal validation of documents is done before submittal to Customer.
Implements document / data management solutions with a primary focus on document control and records management.
Processing documents through all procedural steps in accordance with defined procedures and guidelines.
Ensures that pre-established document control requirements are satisfactorily met through the duration of the project.
Providing assistance to users in capturing and locating electronic information.
Assisting junior staff and coordinators to ensure effective implementation of project-specific procedures.
Manage the documentation delivery in due time to Customer.
Alert the Project Management team about next milestones related to documentation issues.
Follow Customer and stakeholders' documentation status.
Update the Project document templates when required.
Ensure the Project documentation recording in the EDMS.
Maintain Project internal and external distribution lists.
Provide documentation reporting and indicators to Documentation Manager and Project Management Team.
Ensure the role of EDMS Key User (if no Site EDMS key user) at Project level:
First level support to EDMS users
EDMS users list update
Training new users, request account creation to EDMS administration team
Promoting the Alstom Code of Ethics and adhering to the highest standards of ethical conduct


Qualifications/Requirements:
Bachelor's Degree (BS)

  • 8 years of experience at the senior role Documentation Management or Minimum 7 years of experience in Documentation Management
EDMS tool and environment knowledge (Aconex & Unifier as priorities)
Good Communication (oral and written) and interpersonal skills
Ability to work with, and contribute as a team
Attention to detail
Systematic, rigorous, organized, able to multitask
Competence in Microsoft Office


Desired Characteristics:
Engineering environment awareness
Clear understanding of project management
Knowledge of Railway Signaling products and systems
