Purpose:


The Filing and Administrative Clerk provides support for the department's filing system and preparation to transition to a digitized system.

The role is responsible for archiving and maintenance of counselling files in accordance to the professional standards body for current use, retention and destruction.

The role also provides clerical/administrative/support to the operation which includes transcribing of notes/information, data entry, general filing, photo coping, mail distribution, services requests etcetera.

As part of the team, the incumbent will answer basic enquiries about the policies and procedures of the service when performing reception duties.


Education:

High school diploma with completion of one year (1) post-secondary education in office administration or general business.


Experience:

Minimum one year (1) related clerical/administrative support, and filing experience, working with both hard copy and digitized filing systems.

Experience working in a front line position dealing with clients/visitors who may be experiencing emotional, psychological difficulties as well as students with physical, psychiatric, and learning disabilities, within a counselling, medical or related public service office environment dealing with people in potential crisis situations.


Skills:

Ability to maintain hard and digitized file systems
Organizational skills.
Attention to detail and accuracy.

Interpersonal skills to work with others, handle enquiries, deal with sensitive and potential crisis situations requiring immediate counselling assistance and ability to maintain confidentiality of situations and files.

Effective communication skills to relay information.
Written skills to transcribe information, minutes and prepare routine correspondence.
Ability to work both independently and cooperatively within a team.
Ability to work effectively under pressure during periods of high volume.
Proven ability to exercise good judgment and initiative.
Technical
Basic level Word and Excel for wording processing and spreadsheet work.
Ability to work with large, computerized records systems
Transcribing skills from electronic devices to computerized data.
