Position Overview:

  • The Associate Procurement Specialist assists the Procurement team by completing tasks that support the efficient and effective operation and strategic direction of the division. This position analyzes procurement data across various systems, completes procurement of goods and services and ensures compliance to bylaw and issues purchase orders. This position also responds to inquiries and supports the operation through effective communication and followup.

Responsibilities:


  • Completes in depth analysis of various procurement data across multiple systems to inform strategic direction.
  • Manages the eprocurement system contract module for expiring insurance and WSIB documents including reviewing miscellaneous insurance certificates and determines next steps, and requests new insurance and WSIB certificates, as needed.
  • Prepares and issues bid solicitations for routine purchases, managing enquires, evaluates submissions, and makes recommendation on award to client.
  • Ensures bids are awarded in accordance with the policies and procedures as stated within the Procurement Bylaw.
  • Prepares contracts, internal memos or recommendations of award for Chief Procurement Officer/Council.
  • Develops a system to track internal approvals and assists in preparation of quarterly reports for Chief Procurement Officer/Council. Processes Purchase Requisitions, prepares Purchase Orders, Field Orders, Outline Releases and Goods Receipts, as required.
  • Provides internal and external guidance to user groups and suppliers on procurement procedures.
  • Coordinates the disposal of surplus goods.

Requirements:


  • Minimum 3year degree or diploma in a related field e.g., Business, Supply Chain Management.
  • Minimum 1 year of related experience in the supply chain field (Purchasing, Materials Management, Operations etc).
  • Knowledge of purchasing documents, policies, procedures, and bylaw; ability to follow established guidelines for same.
  • Demonstrated strong attention to detail and accuracy.
  • Effective communication and customer service skills providing information to the public and internal business partners who are seeking procurement assistance.
  • Highly motivated to organize and prioritize work effectively with mínimal supervision and to meet deadlines.
  • Demonstrated experience in Microsoft Word, Excel, Outlook, ERP Systems
  • Must be reliable with a good attitude and employment record.
