The opportunity


Reporting to the Property Administration Manager the Property Administration Analyst is responsible for all accounting procedures within the Canada Real Estate Office including the monitoring of cost control projects to ensure accuracy and completeness, reporting, lease interpretation and financial analysis within Manulife's financial accounting system.

The Property Administration Analyst is accountable for the timely transmission of financial and leasing data as well as receipts and disbursements to Head Office.

And, acts as a liaison with various levels such as Regional Director, Property and Leasing Managers, Administrative Assistants and Head Office financial accounting.


Responsibilities

  • Complete analysis, interpretation and resolution of the various Real Estate reports.
  • Assist as required with the review and interpretation of leases and preparation of the lease summary packages for review by the Leasing Director prior to transmission to Head Office Operational Accounting.
  • Monitor accounting system (Yardi Voyager) daily to code and advance any outstanding invoices / POs for approval. Follow up with Head Office to ensure accurate and timely settlement of outstanding payables/receivables.
  • Assist Property, Facility and Project Managers in monthly monitoring of cost control projects to ensure commitments and budgets are not exceeded.
  • Monthly prepare PTP journal entries to consolidate our expenses in the accounting system.
  • Request and process the yearend recovery adjustments from all of our leased locations. Prepare relevant documentation and analysis for these yearend recoveries for input into Yardi by Head Office Operational Accounting.
  • Assist in the preparation of the annual budgets as well as the annual Performance to Plan (PTP) for the Real Estate Office, including input of operational and shared services income and expenses.
  • Setup, process and monitor recurring monthly payments for cleaning and security contracts.
  • Cross train peers and train new staff as required. Assure that accounting standards are consistent throughout the property administrative offices. Assist with annual audits of site offices.
  • Support the Real Estate Office in analyzing and resolving financial accounting issues as they arise.
  • Effectively build strong working relationships with Head Office staff.
  • Influence and negotiate with others within Head Office and the Regional Office to meet deadlines.
  • Most of the deadlines occur at the same time (i.e. month end) so careful planning and time management is essential.

What we are looking for

  • Postsecondary education required, preferably in finance, accounting or real estate management.
  • Good influence and communication skills with ability to build and maintain effective relationships.
  • Minimum three years accounting experience required, preferably in Real Estate.
  • Strong organization and time management skills to meet tight deadlines.
  • Proven ability to work as a team player and independently.
