Trans Power Utility Contractors Inc.is a prime contractor to various utility, industrial and commercial clients, installing high voltage cables, transformers, switchgears, street and highway lighting, traffic signals, telecommunication equipment and natural gas plants.

This role will report directly to the Human Resources Department and work closely with the accounting team, completing tasks for accounts payables.
Receptionist Responsibilities
- Professionally handle incoming calls, direct them to the appropriate personnel, and take accurate messages when necessary.
- Greet visitors, and clients, and notify the respective management or employee of their arrival. On request, offer beverages to visitors to create a welcoming atmosphere.
- Stamp incoming mail accurately and distribute it to the appropriate recipients within the organization. You will also be responsible for opening the mail and organizing its distribution.
- Utilize the access fob to open the gate for shipping deliveries made to the yard behind the office building.
- Allocate incoming parcels to the correct departments within the organization, ensuring prompt and accurate delivery.
- Maintain a wellorganized reception area by storing office supplies appropriately and ensuring the room is tidy at all times.
- Handle outgoing couriers by sending them out promptly and efficiently, ensuring timely deliveries. Also, match courier waybills to corresponding invoices.
- Office duties relating to the general office functions
Accounts Payables Responsibilities
- Collect and sort packing slips, matching them with the respective invoices.
- Distribute matched invoices for approval, organizing them based on job numbers.
- Photocopy, download, and rename matched invoices for future use in Jonas.
- Enter invoices along with relevant information into Jonas.
Requirements:
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong organizational skills and the ability to multitask efficiently.
- Proficient in using office equipment, including switchboards and fobs.
- Familiarity with basic accounting tasks and invoice handling preferred.
- Working knowledge of Microsoft Office and other relevant software.
