Position Summary


The Manager of Operations and Development position entails overseeing various aspects of operations at Caledon Meals on Wheels (CMOW), focusing on enhancing organizational effectiveness, quality improvement, human resources management, facilities, and partnerships.

Responsibilities include developing and implementing initiatives to drive operational excellence and quality improvement, supervising administrative staff, managing facilities and office operations, and cultivating relationships with donors and partners.

Responsibilities and Duties

Organizational Effectiveness, Efficiency and Quality Improvement

  • Develop, implement and support shortterm and longterm initiatives that contribute to CMOW's operational excellence and quality improvement.
  • Lead ongoing accreditation initiatives through research, organization, implementation and development of CMOW policies, procedures and other related documents.
  • Lead, develop and implement quality improvement initiatives in conjunction with management team.
  • Develop and implement strategies and initiatives that support improved reporting, information flow, business process and organizational planning.
  • Develop long and shortterm initiatives geared towards operational and organizational excellence and quality improvement.
  • Develop and monitor CMOW's performance indicators/ scorecard/ strategic goals and objectives and supports individuals/ teams in meeting targets and quality standards.
  • Analyze and report on the programs key performance indicators and targets.
  • Manage and maintain the agency database system, assist with problem solving and lead implementation of new modules.
  • Receive and resolve stakeholder inquiries and complaints/concerns alongside program supervisors.

Human Resources Management

  • Supervise and conduct performance appraisals for administrative staff and volunteers.
  • Assist as required with all aspects of human resources processes including recruitment, advertising, shortlisting applicants, onboarding of new staff.
  • Monitor and coordinate staff education and certification and ensure appropriate documentation is maintained.
  • Oversees CMOW's health and safety and accessibility initiatives.

Facilities & Office Management

  • In collaboration with the Administrative Coordinator, ensure maintenance issues and maintenance schedules are adhered to.
  • Liaise and negotiate with landlord and contracted services (eg. phone system, IT, appliance repair etc.) to acquire and maintain services to maintain optimal functioning of the facility and its equipment.

Development and Partnerships

  • Build relationships and engage donors and potential donors through personalized touchpoints, including inperson presentations and kickoffs, coaching and/or goalsetting meetings, and stewardship calls, committee meetings.
  • Anticipate and plan for future events, trends, problems and opportunities. Evaluate reasonable risktaking opportunities and develop creative solutions, new ways of thinking and solving problems.
  • Continually evaluate and improve fundraising and campaign delivery. Ensures effective donor and volunteer relations including appropriate recognition, acknowledgement and reporting to cultivate relationships with our supporters and ensure the sustainability of events.
  • Attend special events put on by CMOW, which can include parties or charity events, and speak with guests about the advantages of the organization.
  • Develop plans and supports new acquisition of supporters, participants, teams and donors.
  • Support marketing and promotion activities that are in accordance with the organization's mission, vision and values and strategic plan.
  • Ensure CMOW's social media outlets including organization's profile and content are current, relevant and enhancing of the agency's image.
  • Design, produce and distribute a CMOW newsletters and annual reports along with other communications using a variety of formats.

Preferred Qualifications

  • Diploma or degree from an accredited university of college within the social sciences including but not limited to psychology, social work, sociology, adult development etc.
  • 2 or more years previous management experience in a nonprofit environment with proven leadership abilities.
  • Strong leadership skills, with a strong focus on operations and business processes.
  • Ability to identify key issues and finding solutions to overcome them.
  • Clear and solid understanding of personnel policies, practices, and procedures and other operational issues faced by the organization.
  • Excellent attention to detail.
  • High level of integrity, confidentially, and accountability.
  • Sound analytical thinking, planning, prioritization, and execution skills.
