Westland Insurance Group Ltd has an exciting opportunity for a Facilities Manager

  • Eastern Canada working remotely anywhere in Eastern Canada. As Facilities Manager you will represent Westland Insurance Group Ltd. and be responsible for supporting Westland locations by arranging service calls, identifying and selecting vendors, and organizing information on Westland's various facilities for ease of future access and followup. You will play an essential role in supporting Westland's key initiatives and continuing growth.

The Opportunity:


  • Support Westland teams to provide a positive inbranch client and employee experience.
  • Gather, collate, & manage facilities related information on Westland branches & offices.
  • Update individual office location data as locations close or new locations are added including addresses, contact information, trades & suppliers, floor plans, permits, etc.
  • Create and manage online smartsheet facilities information forms.
  • Manage and maintain ServiceNow facilities tickets submitted by branches.
  • Update/adapt ServiceNow and Smartsheet forms as deemed required.
  • Seek out & vet trades, vendors & suppliers in all regions we operate.
  • Review, negotiate and sign various vendor contracts such as janitorial, security, alarms, HVAC, pest control, etc...
  • Coordinate and support access for installations or service calls such as security, water filtration, shred services, janitorial, etc.
  • Manage installations, maintenance & removal of alarms, and security for all locations. including individual alarm codes for staff and all afterhours alarm response calls.
  • Manage and coordinate preventative and cyclical maintenance such as mechanical, landscaping, snow removal, water filter changes, fire safety, etc.
  • Contact and liaise between landlords, property managers, and subtenants to address complaints or repairs required.
  • Approving Facilities invoices in Concur on a weekly recurring basis.
  • Managing internal departments/external vendors to achieve Facilities department goals and initiatives.
  • Provide support to Westland renovation and construction project teams.
  • Manage/update service providers to support new builds, renovations, mergers, and acquisitions.
  • Manage to onboard new facilities support staff.

Here's what you bring:


  • Proven experience in a facilities management role, ideally within a retail/branch organization
  • High level of experience understanding/reviewing vendor contracts.
  • Ability to read plans and edit PDF's
  • Keen Knowledge of all Construction and Repairs
  • Previous experience in a role managing and consolidating large amounts of information in Excel or Smartsheet
  • High level of proficiency in MS Office (Excel, Word, Outlook etc.)
  • Experience with Smartsheets, Service Now and SharePoint is an asset
  • Excellent organizational and problemsolving skills, and a serviceoriented mindset
  • Excellent time management and the ability to juggle multiple priorities
  • Strong communication skills including writing and editing
  • Strong attention to detail and accuracy and demonstrated ability to execute work promptly and efficiently
  • Experience in construction project management or coordination is an asset. i.e.
  • Review leases to confirm landlord and tenant responsibilities.
  • Assist/oversee planning & design.
  • Obtain required landlord and municipal approvals.
  • Tender & award construction contracts.
  • Manage the projects through to completion
  • Develop and present capital expenditure construction budget for approval.
  • Proactive forecasting and planning for all renovations rebrand and new locations.
