The HBA Program (the "Program") is one of the central business units within the Ivey Business School. The Program makes a significant financial contribution to the School's operating budget.


Responsibilities:


The Program Assistant reports directly to the Associate Director, of HBA Recruiting and works within a team that integrates all recruiting and admissions activities related to the Program including the AEO Admissions Coordinator, the HBA Admissions Coordinator, the HBA Recruiting & Program Assistant, the Manager of HBA Recruiting and HBA Recruiting Associate.


Qualifications:


  • Education:
  • 2-year Community College Diploma in Business Management/Administration or a related field
  • University degree preferred

Experience:

  • 3 years of administrative experience in an external clientfacing and customer service capacity, preferably in an academic setting supporting student academic programs.
  • Previous experience in delivering engaging presentations

Knowledge, Skills & Abilities:

  • Proven track record in providing superior studentfacing customer service in a hectic, professional, and clientcentric university environment
  • Proven ability to work effectively and accurately in an interruptive environment
  • Demonstrated ability to utilize mature and professional judgment to identify problems and assess when to escalate to appropriate resources
  • Proven ability to successfully manage projects independently; ability to organize own work effectively, multitask and meet demanding and changing deadlines
  • Knowledge of confidentiality and privacy legislation and ability to maintain confidentiality
  • Demonstrated exceptional interpersonal and communication skills, both verbal and written
  • Ability to deliver compelling, professional presentations and articulate the benefits and features of Ivey AEO status and the HBA Program to high school students and university students, parents, teachers, and guidance counselors
  • Proactive planning and problemsolving skills essential
  • Ability to take initiative and work cooperatively and independently within a small team environment
  • Intermediate proficiency required in Microsoft Office (Excel, Word, Outlook, and PowerPoint) and database management software for reporting (such as Salesforce)
  • Strong aptitude to learn new technology including webbased technology
  • Willingness to travel locally; possess a valid driver's license in good standing and be eligible for car rental agreements
