Hours:_ 37.5 hours per week;

September-June: 7:00am-10:30am, 2:00pm-6:00pm

July-August: 9:30am-5:00pm

Overview:_

'Before
- and After-School in Manor Park' provides children from kindergarten to grade 6 with high quality licensed childcare throughout the school year as well as full time care in the summer months. The program operates under contract to the Ottawa-Carleton District School Board (OCDSB) as part of the Extended Day Programming initiative. Children are encouraged to develop friendships and skills through games, sports, and other activities. The program operates on site at the Manor Park Public Schoolaccording to the OCDSB calendar.

'Manor Park Playschool' is offered to children ages 2 1⁄2 to 5 years. Children in the program explore the world around them through play, art, stories, games and more - all while making friends and having fun Age-appropriate toys, books and games, themed towards the children's interests make this program the perfect way to get children ready for school. Playschool operates in the Manor Park Community Centre.

The Assistant Supervisor has diverse responsibilities and works closely with the Supervisor of Child Care & Early Learning. Success is realized by maintaining our excellent record with the Ministry of Education and continued robust enrollment.

Essential Job Functions:_

The responsibilities of this position include, but are not limited to, the following:

Administrative Functions:

  • Prepare attendance sheets;
  • File all attendance sheets;
  • Track attendance adjustments;
  • Notify staff of changes in attendance, including parenting schedules, absences, or withdrawals.
  • Maintain parent contact list;
  • Maintain staff contact list;
  • Maintain staff communication board.
  • Prepare anaphylactic and medical forms, including staff signoff and postings;
  • Ensure anaphylactic and prescription medications are received, present in group's backpack and labelled;
  • Maintain BAS bulletin board with staff photos/bios, and license requirements
  • Maintain Employee resource binder;
  • Record staff meeting minutes, distribute and file;
  • Prepare anaphylactic and medical forms. Submit to Supervisor for review. Post and maintain staff signoff binder;
  • Prepare medical posters, submit to Supervisor for review and post in groups classroom.
  • Post Fire Drill procedure in all program rooms as well as office;
  • Review injury reports, ensure they are filled out correctly, file and give copy to parent/guardian.
  • Send, receive, distribute mail

Subsidy:

  • Subsidy billing and input of subsidy attendance into the Ontario Child Care Management System;
  • Communicate with subsidy specialist and subsidy support assistant;
  • Complete MAAR
  • Submit OCCMS centre payment detail summary monthly to Supervisor.

Payments:

  • Manage online banking functions through BMO, including entry of account information, creation and distribution of notice of first withdrawal, creation and distribution of notice of cancellation;
  • Maintain reconciliation records.
  • Process all fees associated with the programs, including late pickup fees, PA Days, additional care, withdrawal fees or changes to scheduled days;
  • Prepare and distribute childcare receipts;
  • Ensure deposit and expense reports are submitted on time.

Registration:

  • Maintain registration data base, including enrollment and withdrawals;
  • Prepare registration packages as required;
  • Distribute security codes/key cards to parents and BAS staff;
  • Maintain security key card database of active and inactive card numbers;
  • Prepare Before
- and After-School binders as well as the Playschool binder for groups, including all necessary items at the beginning of the year;

PA Day:

  • Prepare, distribute, and collect PA Day registrations forms
  • Create PA Day attendances and groups;
  • Prepare PA Day group binders with medical details, fire safety, child and parent information;
  • Ensure all necessary anaphylactic and prescription medications are received, present in group's backpack and labelled noting the expiration date;

Staffing:

  • Training and orientation of staff;
  • Supervise and mentor staff during program hours including monitoring classroom management, programming, and supervision;
  • Provide support and guidance to staff;
  • Communicate staff concerns to Supervisor;
  • Annually recommending employment agreement renewals;

Early Childhood Programming:

  • Identifying curriculum objectives in accordance with the Program Statement
  • Guiding curriculum development and pedagogical documentation in accordance with 'How Does Learning Happen?' and 'ELECT' documents;
  • Developing staff competencies in HDLH and ELECT and
  • Guiding pedagogical documentation
