Purpose of Position:


Evaluate appropriate suppliers bringing value to the organization through the competitive bidding process and negotiations with selected suppliers to finalize contracts working with relevant stakeholders.

Obtain tax, legal and insurance review; secure all required approvals and manage supplier compliance against contract commitments. Update required information in the contracts system.


Key Responsibilities:


  • Meet with customer departments to understand their needs and identify customer specification requirements.
  • Source Appropriate Suppliers through internal research or Requests for Information.
  • Issue Requests for Proposals and other communications within the competitive bidding process.
  • Evaluate proposals through standard evaluation matrix and select successful contender.
  • Meet with customer departments and formulate the negotiation strategy.
  • Organize meetings with suppliers and include required customer department representatives and other resources as necessary.
  • Ensure customer department raises authority for commitment document to support contract expense.
  • Consult with legal resources to ensure corporation is adequately protected and supplier obligations are enforceable.
  • Obtain Tax and Insurance sign off.
  • Prepare an Executive summary and obtain appropriate Executive Contract Execution.
  • Ensure Contracts provisions negotiated are managed appropriately by the user department.
  • Identify cost saving and cost reduction initiatives to benefit the company and provide executive updates.
  • Calculate and record cost improvements and other benefits associated with competitive bid and contract activities.
  • Identify cost reduction, avoidance or other savings opportunities associated with contract compliance.
  • Participate in procurement policy amendment process and promote the procurement policy and tools with customer departments.
  • Utilize the Ariba Contracts and Sourcing modules to run competitive bid events, record standard contracts data and update contract terms to ensure other Ariba modules work correctly and reflect the negotiated and internally agreed payment processes.
  • Organize documents in a central repository, track key contract commitments against supplier invoices, and ensure adequate Ariba workflows and approvals are in place.
  • Provide weekly progress reports of activities including competitive bid and contract activities and provide updates to senior management and executives as required.
  • Lead procurement projects, taking ownership for all aspects including team set up and spokesperson for the project.
  • Provide advice to various departments on contract and RFP related questions.
  • Attend team meeting within the Contracts department and other departments that have a direct impact on the contracting process and performance.
  • Other related duties as assigned.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of coworkers and customers.

Qualifications:


  • Undergraduate or other relevant postsecondary education is preferred
  • Experience in competitive bid arrangements, supplier sourcing and development, and contract negotiations and implementation is preferred.
  • Previous experience or training in purchasing and/or procurement considered an asset.
  • Supply Chain Management Professional Designation considered an asset.
  • Experience with Ariba considered an asset.
  • Excellent knowledge of Microsoft Office Suite (Excel, Word, Outlook).
  • Strong leadership skills.
  • Strong interpersonal and communication skills.
  • Ability to communicate effectively in English (oral and written) is required.
